Job Introduction Working in the Business and Production Management Team, the primary objective of the role is to support the business and its key stakeholders in delivering world-beating journalism 24/7/365. The role will work closely with the BBC Political Editor, as well as provide support to the News Content Story teams. In addition, this role will take on secretariat duties to enable the effective running of News Division governance. Main Responsibilities The Team Assistant will provide comprehensive administrative and operational assistance to the team which provides a wide range of business support services to editorial and operational teams to enable the business unit to achieve its objectives. The assistance will include maintaining, efficiently operating and improving a range of office and administrative processes and systems; preparing documents, presentations and other materials; making routine travel and logistical arrangements, bookings and supporting the effective co-ordination and running of team meetings; and preparing, manipulating and analysing data. The support to the BBC Political Editor will include organising all connections and external meetings with key political contacts, parliamentary and government officials as well as screening and prioritising all forms of incoming communications. Ongoing you will work with the team to ensure that the team’s administrative and operational support remains fit-for-purpose, continually adapting to evolving team and business needs. In addition this will include processing visa applications, accreditations, expenses and parliamentary passes. Are you the right person? Demonstrable experience of providing administrative assistance, ideally in a team of similar complexity and in the media sector. Highly organised with a flexible and proactive approach and an ability to prioritise and to co-ordinate a busy workload to tight deadlines, with the ability to operate on one’s own initiative to proactively address queries and issues. High attention to detail and practical experience of gathering, analysing, collating and presenting data and information in a range of formats. Strong computer skills with solid experience of office software packages (i.e. Word, Excel and PowerPoint) and preferably of other administrative systems. Ability to communicate effectively both orally and in writing, working well with a range of people at all levels and able to target the communication to the audience, including on complex and confidential matters. Capable of developing strong working relationships with stakeholders at all levels of the organisation and externally.
