Clinical Administrator (Fixed-term Post - Maternity Cover) About Us Auchenblae Medical Practice is a Dispensing Practice with a population of approximately 2300 patients based in the picturesque rural village of Auchenblae, Kincardine and Mearns. We are well established surgery who pride ourselves on delivering excellent patient centred care. The Practice is very close to the A90 and AWPR and only a short distance from Aberdeen City and Tayside. The Vacancy We are delighted to advertise for the position of Clinical Administrator to join our dynamic and forward thinking team. This position is a fixed-term position for 12 months to cover for a period of maternity leave. The weekly hours are 34 hours alternating between two shift patterns 8am to 4pm; or 10am to 6pm Monday, Tuesday, Thursday and Friday. The start and finish times every Wednesday is 8am to 12pm. Additional hours may be required from time to time to cover for staff absence. We seek a passionate, self-motivated and caring individual who is process driven and adaptable to the evolving demand of working in a General Practice Dispensary. They must be both professional and flexible in their approach, along with possessing excellent organisational and communication skills and have good attention to detail. This opportunity would suit an individual who excels in a busy environment and enjoys a highly varied role. We are willing to consider a job share for this role working either an AM (8am to 1pm) or PM (1pm to 6pm) shift. This will depend on availability of suitable candidates to share this shift pattern. Duties Duties The successful candidate will contribute to the smooth running of a busy reception and administrative function. Some of the key duties include: To be the first point of contact for patients and visitors/callers to the practice, ensuring that all queries are dealt with promptly and efficiently, whilst providing a positive image of the practice. Providing administrative support to both patients and internal clients i.e. the Practice Team. Triaging on the day emergency appointments and booking/amending/cancelling routine appointments on our clinical system. Signposting patients to the appropriate medical professional or service. Managing clinical documents received from secondary sources on a daily basis and ensuring these are work flowed to the appropriate person efficiently. Registering new patients and assisting with new patient online service accounts. Effectively conveying clinical messages and test results to patients in a timely manner. Assisting the Dispensing team with prescription requests and issuing medications to patients. Co-ordinating the process for digital blood pressure monitoring and setting up accounts for patients. Transcribing from digital dictation for clinical referrals and patient correspondence. Administering the Chronic Disease Management system correspondence between clinicians and patients. Assisting the Senior Clinical Administrator with operational projects including process mapping and care navigation and implementation of new IT systems/software as needed. Updating relevant patient communications to the Practice website and social media accounts. Ensuring patient information databases and systems are kept up to date with accurate information. Person Specification Strong interpersonal ability with good communication and listening skills who can deliver excellent patient interactions in a timely and empathetic manner. Ability to build strong and trustworthy working relationships internally and with external NHS contacts. Must be a good team player. Good organisational skills and ability to time manage and prioritise effectively whilst remaining calm under pressure when managing a high workload and conflicting demands. Resilient individual who is able to deal with challenging patient encounters with professionalism and diplomacy. Trustworthy and must maintain patient confidentiality at all times. Previous experience within General Practice/Health Sector is desirable but not essential. Computer literacy and a good working knowledge of Microsoft Office. Experience of working with clinical systems Vision and Docman is advantageous but not a prerequisite as full training will be provided.
