We deliver acute hospital, primary, community and mental health care services to a population of over 1.15 million and a wider population of 2.2 million when our regional and national services are included. The shift pattern is Monday - Friday 08.30-17.00. NHS Scotland is reducing their full time working week from 37.5 to 37 hours per week from 1 April 2024 but with no change in pay. This reduction will also be applied pro rata for part time staff. This advert and any subsequent offer/contract of employment therefore reflects the new working hours. However, as not all service areas will be able to adopt the 37 hour working week immediately from 1 April 2024, you may be required to work up to an additional 30 minutes per week for a temporary period for which you would be paid until the service you are working in changes rosters or working patterns to accommodate the new reduced working week. The postholder will provide an extensive and comprehensive administrative service to the Senior Management Team (i.e. GM/CSM) within the Older People & Stroke Service (North Sector). This is an admin office based post and the individual will be responsible for organising and prioritising the workload to ensure the smooth day-to-day running of the management office. The post holder will be the focal point for communication within the management offices and will be required to liaise with the local and Directorate management teams, and to develop and maintain good communication links across the Service and within NHSGGC and other external agencies. Duties may include (but are not limited to): electronic diary and email management; minute taking; organising meetings; assisting with HR and payroll tasks; and producing management reports. The postholder will provide cover to colleagues and will assist with the management of the Junior Medical Staff Rotas. The post holder will report to the Admin & Rota Manger and will assist the service by carrying out a variety of duties and responsibilities as outlined within the job description. The successful candidate will be educated to HNC/SVQIII level in secretarial/business administration, and/or have equivalent relevant experience in a similar administrative role. The post holder should be proficient in the use of Microsoft Office and have advanced keyboard skills. Excellent organisational, communication and problem solving skills are essential. As well as diary management skills and the ability to produce reports and presentations to a high level.
