The shift pattern is Predominately 9-5 Monday-Friday NHS Scotland is reducing their full time working week from 37.5 to 37 hours per week from 1 April 2024 but with no change in pay. This reduction will also be applied pro rata for part time staff. This advert and any subsequent offer/contract of employment therefore reflects the new working hours. However, as not all service areas will be able to adopt the 37 hour working week immediately from 1 April 2024, you may be required to work up to an additional 30 minutes per week for a temporary period for which you would be paid until the service you are working in changes rosters or working patterns to accommodate the new reduced working week. We are seeking an enthusiastic and self-motivated individual to undertake the role of Personal Assistant. The successful candidate will support the Operational Management Team by providing comprehensive, efficient and confidential administrative support. The post holder will work closely with the Operational Management Team and senior staff across the organisation and act as the first point of contact for all enquiries to the department, often dealing with matters of a confidential and sensitive nature. Primary duties will include; diary management, coordinating internal and external meetings, preparation of agendas and associated documentation. The post holder will demonstrate excellent communication skills, both written and verbal. They will be able to deal effectively with a number of simultaneous tasks and have the ability, commitment and judgement to ensure deadlines and actions are delivered whilst being frequently interrupted. Advanced knowledge of Microsoft Office is essential, as is experience of complex diary management and attending meetings for the purpose of minute taking. Previous experience within a similar/healthcare setting would be advantageous.
