Medical Receptionists are responsible for dealing with all matters concerning the care of patients either face to face or by telephone. A professional approach is essential for the day to day running of the practice. The Reception and Administration team creates a positive, friendly and caring patient experience, responsible for both the traditional reception role of welcoming and signposting patients to appropriate healthcare professionals and administering the busy back-office work of prescriptions, coding correspondence, and providing task-based support to the clinicians and management. This is a fast-paced role in a busy and demanding environment. We need our team to be flexible, resilient, well organised, and able to problem-solve and multi-task whilst maintaining a friendly and approachable manner. A vital part of the role is to provide excellent patient care and communication. It is essential to remain calm and empathic with a professional manner. You must also be assertive in demanding situations which arise. Previous experience in the NHS is an advantage but not essential for this post as full training will be given. Main Primary Duties of the Job a. Booking patient appointments as appropriate on the practice appointment system. b. Processing prescriptions, coding correspondence, scanning and work flowing documents. c. Dealing with general enquiries, making patient review appointments, taking accurate messages and actioning with appropriate delivery. d. Providing task-based support to the Clinicians and Management Team. e. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately. f. Signpost patients to the correct services. g. Initiating contact with and responding to, requests from patients, team members and external agencies. h. Clinically code data on the Practice EMIS system. i. Data entry of new and temporary registrations and relevant patient information as required. j. Input accurate data into patients healthcare records as necessary. k. Direct requests as appropriate for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the administrative and Secretarial team. l. Manage all queries as necessary in an efficient manner. m. Maintain a clean, tidy, effective working area at all times. n. Monitor and maintain the reception area and notice boards. o. Support all clinical staff with general tasks as requested. About us To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, ordering repeat prescriptions, the processing of information and assisting patients as required. You will also attend regular staff training meetings and contribute towards these. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multi-disciplinary team members and external agencies such as secondary care and community service providers.
