This is a summary of the main tasks, full details can be found in the attached job description.o Provide specialist administrative support to the Executive Personal Assistants (PAs)taking on specific tasks and responsibilities as required to support the Executive Admin team portfolio.o Provide front of house service, meeting and greeting both internal and external visitors.o Communications - manage post; opening, sorting and distributing mail, receive and action general queries by phone or emailo Action often complex instructions from the Executive PAs, Executive Directors and Deputies o Support the Executive PAs to maintain an up-to-date electronic diary for the Executive Team.o Ensure Executive Directors are prepared for meetings by ensuring that they have all papers and information available.o Maintain filing systems and electronic databases ensuring that all relevant correspondence and documents are available when requiredo Take minutes and action notes for meetings chaired by Executives or those for which the executive team are responsible as required. o Ordering of supplies using the electronic procurement system. o Support the recruitment process for Consultant Recruitmento Maintain confidentiality at all times relating to patients, staff and the Trust About us Please see the Job description and Person Specification in the attachments.These documents contains a full detailed description of the role and the main responsibilities and duties, along with the criteria required.The tasks you will be required to support are varied and change regularly depending on the priorities of the Executive team.
