JABS currently makes recommendations for various court offices, Senator of the College of Justice and for members of the First-tier Tribunals of Scotland as well as for independent tribunals such as the Parole Board for Scotland. JABS Business Management Unit currently has a staff of 10 (including this post) headed by the Chief Executive who support the Board of 16, comprising legal, judicial and lay members. Applications are invited for an A3 Appointments Administrator (Modern Apprentice) in the Business Management Unit of the Judicial Appointments Board for Scotland. The role of this post is to provide administrative support to Board members, the Chairing member, senior management and the Business Management Unit. You will support judicial appointment rounds and play a key role in the day-to-day work of the organisation. It requires someone who has the ability to work independently and as part of a small team. Eligibility for Modern Apprentice The recruitment of Modern Apprentices is a fair, open and merit based process (16+) and with permanence from the start of the apprenticeship. Previous Modern Apprentices in the Scottish Government are not eligible to apply. Throughout the first 12 months the successful candidate will be expected to gain a relevant SVQ qualification. Support will be provided by an internal assessor who will work with the candidate on a monthly basis. Time will be given to work on your qualification. Responsibilities Providing administrative support to the Board and its Business Management Unit, handling confidential information appropriately and producing statistics on request. Being the first point of contact for enquiries from applicants and others, handling enquiries appropriately and timeously. Arranging and issuing papers for meetings. Also arranging travel and accommodation where required. Providing administrative support during judicial appointment rounds, including entering details onto the Board’s online application system, checking applications and corresponding with applicants. Undertaking receptionist duties for interviews and being a contact point for applicants, referees, consultees and others, making the necessary arrangements for applicants or visitors who may have special requirements. Supporting the Board, senior management and the Business Management Unit at meetings as required. Assisting with the provision of secretariat support to senior management. Ordering stationery, catering and other items, through the PECOS procurement system. Taking forward tasks associated with the Board’s Record Management Plan and assisting with the appropriate saving and storage of JABS records. Contributing to the continuous improvement of working processes and practices. Ability to work efficiently as part of a team. Location This post is based at Thistle House, 91 Haymarket Terrace, Edinburgh. A hybrid working pattern is in place however the post-holder will be expected to spend a significant amount of time in the office. Interview and Assessment Dates to be confirmed. Scottish Government is preparing for the implementation of a new HR and Finance platform and, as a result, some job offers will be subject to an October 2024 start date at the earliest. This will be confirmed as your application progresses. Minimum Time in Post You will be expected to remain in post for a minimum of three years unless successful at gaining promotion to a higher Band or Grade. In the event that there are more successful candidates than posts available, a reserve list will be kept for up to 6 months.
