About the Executive Assistant role : Our Executive Assistants support the Executive Team and work closely with the Corporate Support Manager. Day to day activities can involve diary management, planning and organisation of specific high-level meetings, assisting with programmes for visits, information gathering for corporate reports and publications, and providing support to the Board of Trustees. Someone with a flexible and organised approach, a positive and engaging personality who thrives working as part of a team, and delivers high standards with attention to detail will be an ideal fit for this role. As an Executive Assistant at National Museums Scotland you will : Provide secretarial and administrative support to the Executive Team, e.g. mail, emails, diary management, telephone enquiries, arranging meetings, note-taking as appropriate, travel arrangements, expenses, filing etc Assist with the organisation of visits, the preparation of reports, talks, lectures and events relating to Executive Team business Provide administrative support to the Board of Trustees and its committees and other committees chaired and convened by the Executive Team Gather and collate management and statistical information for reporting purposes Provide support to other members of the Corporate Support Unit, including cover during periods of leave. Skills and experience we’re looking for in our Executive Assistant: Experience of providing secretarial/administrative support to member(s) of a senior management team in an office environment Experience of working as part of a team Excellent ICT skills in MS 365 (Excel, Teams, Outlook, PowerPoint etc) Good verbal and written communication skills and organisational skills Knowledge of current office systems and procedures Experience of maintaining confidentiality and handling sensitive information with discretion.
