Front Desk Management Greeting Visitors: Welcoming clients, contractors, and other visitors, directing them to the appropriate person or department. Managing Incoming Calls: Answering and routing phone calls professionally, taking messages, and addressing inquiries when possible. Visitor Log Maintenance: Keeping a log of visitors entering and exiting the premises for security and record-keeping purposes. Administrative Support Appointment Scheduling: Coordinating and scheduling meetings and appointments for staff members, ensuring there are no conflicts. Mail Handling: Receiving, sorting, and distributing incoming mail and packages, and managing outgoing mail and courier services. Document Preparation: Assisting in the preparation and formatting of documents, reports, and presentations as required by the engineering team. Communication and Coordination Internal Communication: Acting as a liaison between different departments to facilitate smooth communication and operations. Event Coordination: Assisting in the planning and organization of company events, meetings, and conferences. Customer Service Client Interaction: Handling inquiries from clients, providing information, and directing them to the appropriate personnel. Feedback Collection: Gathering feedback from visitors and clients to improve service quality and address concerns. Data Management Database Maintenance: Updating and maintaining contact lists, client information, and other relevant databases. Compliance and Security Security Protocols: Enforcing company security protocols, such as visitor badges and access control, to ensure a secure working environment.
