This role is pivotal in maintaining the professionalism and efficiency of our front-of-house operations. Day To Day Of The Role Telephone Respond to enquiries from all callers to the company’s telephone service. Provide accurate information on the departments and services within the company. Efficiently distribute calls and forward messages retrieved from the system. Arrange appointments for staff. Reception Attend to clients with or without appointments and manage deliveries. Ensure the fax machine is operational and manage the distribution of incoming faxes. Process client payments in line with the Cash Handling Policy. Book interview rooms on the IT system and handle email correspondence. Search for client information on the database and advise HR of daily sickness. Maintain a tidy and welcoming reception area, including responsibility for locking and unlocking the front door. General Administration Archive documents, order train tickets, and Ad hoc duties. Coordinate courier services, use the paging system, and witness documents. Update the Fire Head Count List and conduct weekly fire and panic alarm tests. Prepare files for scanning and manage the Advice inbox, distributing emails accordingly. Make recommendations for service improvement and attend training as required. Participate in department meetings and adhere to company policies and procedures. Undertake any other duties as required, ensuring the smooth running of the front office. Required Skills & Qualifications: Excellent communication and customer service skills. Experience within Reception for a professional service business would be advantageous. Ability to handle multiple tasks and prioritise effectively. Proficiency in using IT systems for booking, email, and database management. Familiarity with office equipment and maintenance.
