Vivienne Westwood is looking for a Receptionist Admin Coordinator to join the Team in the London, Battersea Office on a fulltime basis for 12 Months. Key Responsibilities (receptionist) Meeting and greeting clients Booking meetings Arranging couriers/taxis following Company procedures Keeping the reception area organised and tidy Answering and forwarding phone calls Screening phone calls Sorting and distributing post Processing various orders (including stationary, food, drink, etc.) Organising the rota for reception cover and training replacements Being the first point of contact for external clients (contractors, builders, etc.) Completing health and safety related tasks Dealing with any ad hoc tasks Key Responsibilities (admin Coordinator) Acting as the key point of contact for any employee queries regarding day-to-day issues and communicating to all internal stakeholders any matters relating to the office environment and company buildings Liaising with maintenance companies and external contractors regarding any work that is required to take place in the company locations Corporate cards management, including monthly credit cards statements recording, reconciliation, and timely submission to the finance team to meet deadlines Supporting the Office Manager company business activities including booking flights, transfers, and hotel reservations, for employees and guests, integrating sustainability into all aspects of travel arrangements Supporting the office manager in maintaining and updating records for all travel - including monthly reviews and preparation for annual audits Keeping the travel and the expenses database up to date Coordinating with the Finance department, and invoicing travellers’ personal travel costs Supporting with processing employee expenses Any other duties required by management (Please note this is not an exhaustive list of duties and you may be required to perform additional duties to fulfil the requirements of the role) Benefits Staff discounts Training Health & Wellbeing support (includes Private Medical Health Insurance, EAP, Gym Discounts, Access to Financial Planning Service, etc.) Cycle to work scheme Generous annual leave allowance Pension Scheme Opportunity to develop new skills and progress in your career Opportunity to work for a company that cares and believes in its people and the environment Applications may close before the deadline, so please apply early to avoid disappointment.
