Rated Outstanding by the Care Quality Commission, we support families across Surrey, north-west London and south-west London from diagnosis to end of life and throughout bereavement with a range of nursing, practical, emotional and medical care. Our specialist care and support is free of charge to families and available 24 hours a day, 365 days a year. It includes specialist nursing in the community, symptom management and pain relief, overnight respite stays, end-of-life care, specialist bereavement care and a comprehensive range of therapies, groups and clinics for the whole family. At the heart of what we do are our dedicated staff; their exceptional commitment and professionalism means every family has the opportunity to make every moment count . It costs £10 million a year to run Shooting Star Childrens Hospices. Just 30% of our funding comes from the government, so we rely on our supporters generosity to keep the service running. We employ 175 members of staff, including 98 nursing and medical staff, and support around 700 families. Introduction to Team Strategy and Partnerships Shooting Star Childrens Hospices Teams Strategy and Partnerships Team : This Team is responsible for the delivery and monitoring of the organisational strategy; the Data and Insight function across the whole organisation; partnerships with external organisations in the voluntary and statutory sector; raising £3million + of statutory income and providing the administration and systems support to the Care team. Part 1: Job Profile a) Main purpose of job This role will provide administrative support to the Psychosocial Team. Due to the nature of this role, it will be office based. Any working from home will be under exceptional circumstances only and by arrangement with the line manager. Part 2: Main duties and key responsibilities a) Use headings from the scope Providing administrative support in meetings, providing documents and taking notes, preparing the minutes and subsequently distributing to all participants. Maintaining an electronic filing system for the HoPS and wider family support services (Microsoft 365). Filing safeguarding forms and ensuring all that have arrived in the shared inbox are recorded in form format and on the tracking spreadsheet. Creating Microsoft Forms surveys for service evaluation, collate data and prepare reports, tables and charts. Supporting communication between stakeholders through drafting, reviewing and sending information, leaflets and packs to professionals. Creating clinic letters (from existing templates) for sign-off, and post to GPs and schools. Supporting with task management through identifying competing priorities and maintaining action trackers. Providing admin support to all members of the family support team as required Ensuring therapy notes and materials are archived in accordance with SSCH management of health records policy Ensure you are familiar with the practices of other team members so that you can assist in the event of absence, thereby maintaining adequate cover within the team. Sharing the cover of switchboard and reception duties in the absence of reception volunteers via a Silent on call rota. b) Other duties These duties will be applicable to some posts. The post holder must be able and willing to get to and work in both hospices in Hampton and Guildford The post holder will need to travel extensively throughout their area and less frequently in other parts of Surrey/West London The post holder should be prepared to attend SSCH meetings in different parts of the country. Some meetings may be during evenings or weekends. The post holder will be required to apply for a Disclosure and Barring Service check c) Mandatory Criteria 1. Other duties The post holder will be working in a developing environment and they will therefore be expected to undertake other appropriate duties as required for the effective operation of Shooting Star Childrens Hospices. 2. Part 3: Person specification: Qualifications, experience and skill levels a) Qualifications GCSE Maths and English at C grade or above (E) b) Experience Previous experience in clerical, administration or secretarial role (E) ( 1 year minimum) Experience of working with volunteers (D) c) Knowledge and Skills Excellent oral and written communication skills, with the ability to communicate effectively yet sympathetically with the parents/carers of life limited children and other professionals. The ability to work under pressure and manage a changing workload. Prioritise competing tasks effectively. Experience of working with Microsoft365 applications including Word, Excel and Outlook as well as database packages, websites and social media platforms. Copy/audio typing, with the ability to produce accurate and well presented documents and reports.
