Through administrative processing, proactive updates and query handling the role holder will ensure a quality customer experience is delivered. Main Duties And Responsibilities Include Greet all visitors to the building with a professional and warm welcome Direct/escort visitors to the correct area of the building for appointments Ensure all visitors sign in and out in line with H&S requirements Manage customer enquiries ensuring queries are answered professionally Working with the wider reception, administration and operational team to ensure best practice sharing Manage complaints in line with Optima Health's complaint handling process Provide administrative support to the back-office team General administration tasks, including but not limited to, answering telephone, email and written correspondence, scanning and indexing of documents, filing, photocopying, shredding of confidential waste, diary management Ordering of goods and consumables where appropriate and ensuring correct stock management, and liaising with suppliers as required Manage and distribute incoming post in line with internal process, and scanning post items where required Preparing all outgoing post ready for end of day collection Managing of keys, key log and security fobs for access control including visitor passes Booking of conference room, hot desks and advising of room booking process Supporting Facilities with site access for maintenance services Experience, Skills And Knowledge Required For The Role Strong written and verbal communication skills Good attention to detail Able to work under pressure Good IT / PC skills including Microsoft packages What Can We Offer You?
