The ideal candidate will have previous experience within facilities/ office maintenance and will be responsible for the effective running of the office, ensuring a first-class experience for all staff and visitors. Main Duties for the Receptionist/Office Assistant: Assisting in the management of office space to create a safe and welcoming working environment, liaising with the building reception team and the office cleaners when necessary. Ensuring that on-site cover is always available. Being first point of contact for office related matters for all colleagues and visitors. Assisting Manager in keeping processes and procedures updated and preparing for Compliance meetings. Ensuring that office stock is always well maintained (kitchen supplies, bathroom, office stationery, etc.), tracking against the budget. Supporting the Office and Compliance Manager with office Health and Safety matters. Completing the office checklist monthly, reporting findings and completing resulting actions where appropriate (e.g. organising PAT testing, fire extinguisher testing, recalibration of on-site equipment etc). First Aider and Fire Marshall. Arranging and coordinating meetings, including collating presentations into PowerPoint presentations. Support social and corporate events as required. Person Specification for the Receptionist/Office Assistant: Previous experience in facilities/ office management/ scheduling repairs/ office space management or acting as the go-to person in these matters. Well-developed interpersonal skills and the ability to communicate confidently at all levels of the organisation. Knowledge of dealing with confidential information in a secure manner. Problem solving and decision-making skills. Literacy in Microsoft applications, such as Outlook, Word, Excel, and PowerPoint.
