About us STOCKWOOD MEDICAL CENTRE JOB DESCRIPTION & PERSON SPECIFICATION Job Title: Receptionist Hours of Duty: As per Contract Location: Stockwood Medical Centre Accountable to: Reception Manager Main duties and responsibilities To be responsible for undertaking a wide range of reception duties and the provision of general support to the practice team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing information and assisting patients as required. Receptionists act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers. Principal duties Book patients in, on arrival at the practice and monitor those using self-check in Make new, follow-up, routine, emergency and home visit appointments of an appropriate length for patients needs Cancel and/or re-arrange appointments, as necessary Receive, navigate and make telephone calls, as required Promptly take messages, ensuring accuracy of detail Process incoming and outgoing mail Facilitate effective communication with patients and other service users Initiate contact with and respond to, requests from patients via email and text messaging service Initiate contact with and respond to, requests from team members and external agencies Photocopy, scan and shred documents as required File and store records as required Input data into the patients healthcare records, as necessary and ensuring accuracy Manage written, verbal and electronic communication in a diplomatic, empathetic, supportive and informative way, especially when dealing with sensitive information Manage queries in an efficient manner Maintain a clean, tidy, effective working area at all times Assisting with opening and closing of the practice Providing general assistance to GPs and the clinical teams within the practice Monitor and maintain the reception area and notice boards and perform other duties relating to the premises in accordance with practice procedures Provide cover during staff absences Process requests for non-NHS services Participate and comply with all mandatory training and ongoing personal development Apply practice policies, standards and guidance Confidentiality In the course of seeking treatment, patients entrust us with, or permit us to gather sensitive information in relation to their health and other matters.
