This role will work independently, often unsupervised, to organise and manage the administrative workload of the consultants and nursing team, adapting to ever-changing priorities. The role will work under the guidance outlined in the Medical Secretaries' Handbook and will also provide cover for other medical administrators, as required. Take and process telephone calls Organise a diary as requested by clinicians Sort, distribute and prioritise internal/external post. Requesting case notes as required and provide consultants with background information such as outstanding investigations/appointments Prepare general correspondence e.g. admission and discharge summaries, legal reports, print rotas/operation lists and other communication Accurately transcribe dictation, understanding the context and re-arranging as necessary Ensure case notes are maintained in accordance with the Trust's Case Note Management Policy Assist consultants and other members of the team in the development and/or maintenance of databases and the production of presentations Organise and minute as necessary meetings and conferences, Mortality review: obtain notes, produce typed tables, scan audit forms for monthly meetings, liaise with Quality, Safety and Compliance Department. Follow up clinic: book appointments by letter/telephone, type clinic letters and alter PAS as required. Ensure immediate payment of donations to the appropriate Critical Care Charitable Fund in line with Trust procedures and issue acknowledgement letters and receipts. Monitor usage of stationery and office consumables Maintain the Bookwise room booking system for the Critical Care Resource Room.
