Duties & Responsibilities To ensure the provision of a comprehensive, high quality and efficient administrative and secretarial service for Paediatric ENT Department. To work as part of a team ensuring that adequate cover is provided for administrative/secretarial colleagues during planned absence, sickness, or workload pressures. Duties & Responsibilities If required to participate in the pooled provision of the typing service To support the PA/Secretaries within their day-to-day workload, ensuring that priorities are identified and dealt with, and problems resolved as quickly as possible. Ensure new referrals when received are recorded onto HIVE. To assist in the scheduling of patients into the appropriate clinics, monitoring patients’ treatment progress and ensuring appropriate follow up arrangements are in place for each patient following clinic visits when necessary. To Ensure generic email account is actioned on the daily rota within the team. Assist in the recording of Clinicians annual leave on department system. Assist in the validation of waiting list data entered onto HIVE. Scan and upload paper referrals, incoming paper correspondence (following Trust policy) and all completed paper-based assessments Send off all clinical reports and correspondence, checking addresses etc. Data entry and retrieval from database/core clinical systems To develop and promote good working practice, ensuring standard protocols are in place. To ensure staff have an adequate supply of office/secretarial stock and non-stock items. Undertake other duties as required in line with the post.
