About the role

The Receptionist / Front of House role is based in London and is responsible for managing our self-contained office in Clerkenwell. You’ll be the welcoming face of the company, meeting and greeting all staff and clients that come into our office! At Once Upon a Time no two days are the same, so you will need to be able to hit the ground running and be able to adjust to a fast-paced environment.



Working Pattern

8:30/8:45 - 5:30



Key responsibilities

  • Answering the door and meeting and greeting guests on arrival asking signing them in/out
  • Answering the office telephone and passing on messages to staff
  • Creating security passes for new starters
  • Ordering office supplies and weekly shopping
  • Booking meeting rooms on behalf of staff when requested
  • Booking taxis/couriers when requested
  • Managing the reception email account
  • Setting up meeting rooms when external meetings are taking place - including ordering refreshments
  • Refreshing meeting rooms once meetings have finished
  • Ensuring that the reception area is always clear and tidy
  • Signing in packages and informing staff of their arrival
  • Liaising with 3rd party vendors/suppliers when needed
  • Perform weekly fire alarm tests
  • Managing the security codes for the building
  • Booking restaurants and travel for senior management when required
  • Alerting the relevant people to any emergency office issues
  • Monitoring CCTV during the day



Who you are

  • Have a warm and welcoming approach
  • Be willing to get stuck in - no task is too big or small
  • Be proactive and willing to take charge of tasks without being prompted by the operations team
  • Good knowledge of Microsoft Office packages
  • Strong attention to detail
  • Able to multitask and keep calm under pressure
  • Previous administration/facilities experience is desirable
  • Knowledge of office health and safety is desirable
