Manage training events, statistics and staff records/qualifications on iTrent.

Reporting to the Business Support Officer, this role provides confidential and professional administrative support to the Business Support and Learning & Development functions.  

The post holder will be responsible for delivering an effective and efficient reception service, acting as first point of contact for incoming enquires from a wide range of stakeholders, and for providing administrative support to the Learning & Development team. 



Responsibilities

  • Provide confidential and professional administrative support to the Business Support and Learning & Development functions
  • Ensure the Head Office is well-equipped
  • Undertake reception duties, welcoming and directing visitors
  • Handle general enquiries to the organisation received in person, and via email and telephone
  • Act as the first point of contact for the organisation by answering calls and helping with queries from the public, staff, and professional bodies
  • Record complaints and input to the complaints database
  • Act as the point of contact for the Learning & Development team, managing the L&D shared inbox and liaising with staff and internal/external trainers
  • Manage training events, statistics and staff records/qualifications on iTrent
  • Assist in the preparation of reports with accuracy and efficiency
  • Support the completion of funded training applications, evaluation and feedback
  • Ensure all daily, weekly, and monthly Head Office Health & Safety checks are undertaken and signed off
  • Act as Fire Warden and First Aid Appointed Person
  • Coordinate office cleaning activities at Head Office
  • Update staff lists on a monthly basis and as required
  • Provide support for maintenance issues at services
  • Arrange quotes for new work and renewals at Head Office
  • Collate meter readings from services and submit them to utilities company
  • Ensure all records are stored and retained in line with audit and GDPR requirements
  • Undertake other administration tasks as required



Qualifications


Essential requirements for the role

  • Experience of general office practices, procedures and systems including MS Office (Word, Excel, PowerPoint, Outlook, SharePoint) and Adobe Acrobat
  • Knowledge of records management including record retention and GDPR legislation
  • Excellent verbal and written communication skills with good attention to detail
  • Able to work effectively in a team or autonomously as required
  • Able to maintain confidentiality of sensitive information
  • Can work to multiple deadlines and handle multiple projects simultaneously



Desirable requirements for the role

  • Minimum of SVQ Business Administration or equivalent qualification
  • Experience of working in third/charity or public sector
  • Experience of working within Corporate/Business Services
  • Customer service experience
