Overseeing the administration and support operations of the reception team, ensuring staff achieve their primary responsibilities.

The following are the core responsibilities of the Reception Team Lead. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

The Reception team lead is responsible for:

a. Overseeing the administration and support operations of the reception team, ensuring staff achieve their primary responsibilities

b. Ensure that existing reception systems are functioning efficiently and effectively

c. Work closely with the Patient Admin Lead to provide support for patient administration

d. Monitor systems and make suggestions for improvement

e. Be responsible for the day-to-day running of the team including managing routine HR issues

f. Line managing all reception staff, supporting staff development, providing guidance and direction, ensuring staff are up to date with mandatory training

g. To act as Holiday Manager to the reception team.

h. Provide feedback to the team about practice matters, run reception meetings, attend other team meetings as required, and represent the team to the rest of the practice in practice meetings

i. Implement objectives for the Reception team and evaluate progress, oversee implementation of objectives and identify any barriers to reaching these objectives. These objectives will be agreed in line with overall practice objectives.

j. Support the training officer to assess training needs within the reception area with a view to preparing individual Personal development plans for reception staff

k. Completing staff appraisals as required

l. Identifying and delivering team training where required

m. Compiling reception staff rotas

n. Along with the operational manager Review and update reception policies and procedures as required

o. Supporting the management team in the compilation of practice reports and the practice development plan

p. Developing, implementing and embedding efficient office processes and procedures to adhere to extant legislation

q. Coordinating the provision of reception staff, ensuring sufficient cover is provided for periods of leave and other staff absences

r. Coordinating the home visits rota in conjunction with.

s. Manage the patient facing email and ensure all emails are dealt with on a daily basis and distributed to the correct teams

t. Support the complaints officer with initial guidance and advice to patients who wish to complain where this involves reception process procedure or staff

u. Provide hands on support to all reception staff and carry out any of the duties of a receptionist.

v. Managing all deliveries to the practice, ensuring adherence to the cold chain policy as necessary

A proven leadership track record and the ability to lead effectively.

Being digitally confident. Understanding systems and have the ability to monitor them.

Ability to juggle several priorities whilst still maintaining an excellent standard and working with pace.

Demonstrate flexibility and resourcefulness to change and the ability to lead the team through change with.

A good eye for detail and a desire to take responsibility, through to resolution, for issues and concerns generated.
