To provide a comprehensive and confidential administrative support to the service, the post holder will be required to undertake a range of tasks working in an office environment, including accurate data input, in house data bases, answer phone calls and email enquiries and to arrange appointments, whilst delivering a confidential friendly and client focused service.

  • Provide a friendly and professional telephone service whilst answering the telephone to various stakeholders, including medical staff and professionals. Greeting callers, signposting to other services, taking messages, or dealing with queries.
  • Deal efficiently with all enquiries to the office using initiative, diplomacy and sensitivity. The ability to deal competently and courteously with a wide range of contacts is essential.
  • Respond with tact and sensitivity within the day-to-day role, exercising judgement when dealing with enquiries.
  • Update, maintain and amend databases and systems as appropriate.

Take appropriate action to solve problems arising from the office environment

  • Daily management of own workload seeking clarification from a supervisor when required.
  • Communicate effectively on a range of matters on a daily basis via the telephone, teams and email.
  • Implementing new procedures as and when they are requested.
  • Communicate in a manner that is consistent with Trust policies and procedures whilst presenting a positive image of the service.
  • Receive and process incoming and outgoing communication and identify priority items.
