About the roleThe Receptionist / Front of House role is based in London and is responsible for managing our self-contained office in Clerkenwell. You’ll be the welcoming face of the company, meeting and greeting all staff and clients that come into our office! At Once Upon a Time no two days are the same, so you will need to be able to hit the ground running and be able to adjust to a fast-paced environment.

Working Pattern8:30/8:45 - 5:30

Key responsibilitiesAnswering the door and meeting and greeting guests on arrival asking signing them in/outAnswering the office telephone and passing on messages to staffCreating security passes for new startersOrdering office supplies and weekly shoppingBooking meeting rooms on behalf of staff when requestedBooking taxis/couriers when requestedManaging the reception email accountSetting up meeting rooms when external meetings are taking place - including ordering refreshmentsRefreshing meeting rooms once meetings have finishedEnsuring that the reception area is always clear and tidySigning in packages and informing staff of their arrivalLiaising with 3rd party vendors/suppliers when neededPerform weekly fire alarm testsManaging the security codes for the buildingBooking restaurants and travel for senior management when requiredAlerting the relevant people to any emergency office issuesMonitoring CCTV during the day

Who you areHave a warm and welcoming approachBe willing to get stuck in - no task is too big or smallBe proactive and willing to take charge of tasks without being prompted by the operations teamGood knowledge of Microsoft Office packagesStrong attention to detailAble to multitask and keep calm under pressurePrevious administration/facilities experience is desirableKnowledge of office health and safety is desirable
