About The Role


The main aim of the Edinburgh Lettings Team is to ensure an exceptional customer experience is provided to all our potential and actual customers. You will work closely with your colleagues in your team to ensure we deliver a best-in-class customer experience and by doing so, achieve a market leading position in our target areas.

In your role as a front of house administrator, you will provide a highly effective front line reception service by dealing professionally and efficiently with our clients and customers through multiple communication channels (telephone, email and face to face). In addition, you will provide administrative support to ensure the efficient operation of the department and look after the general reception areas of the branch to ensure a welcoming environment for our customers.

You will work collaboratively with your colleagues and support the Portfolio Managers and Portfolio Administrators in building strong relationships with their clients by ensuring that we deliver an exceptional customer experience. In addition, you will carry out general administrative tasks as required to provide the best possible support service to the department as a whole.


Key Responsibilities


You will be responsible for the following

  • Providing administrative support, ensuring the efficient operation of the department and office premises including stock management
  • Managing all phone calls and voicemail queries
  • Greeting clients, suppliers and associated professionals face to face
  • Providing the highest standard of client care and satisfaction
  • Ensuring standards are met and a continuous learning approach is adopted
  • Management of the viewing calendars and appointments
  • Management of a database of applicants for available properties
  • Managing the main lettings email inbox
  • Managing keys in and out of the office
  • Liaising with viewers/coordinators to best manage diaries/viewings
