Job Overview


An exciting opportunity has arisen at Frimley Health NHS Foundation Trust for an enthusiastic and conscientious Administrator to join our team of Booking Officers.

The successful candidate will need to have very good customer service and organisational skills. They will be working across reception and the back office to support the therapy teams to provide an excellent service to patients attending the service.

The successful candidate will share responsibility for covering reception, telephone lines and managing referrals. They will be supported by an experienced Admin Team and Admin Team Lead.

The successful candidate should be enthusiastic and passionate and have the motivation to encourage and facilitate best customer service. We are looking for an individual who is an excellent communicator, a good team player and has an interest in providing excellent patient care and experience.

You should have previous administration/reception experience and ideally have knowledge/experience of working within a healthcare environment.

These hours will be based at Wexham Park hospital within Therapy bookings in Blue zone and Hand Therapy in Orange zone .

Main duties of the job

As part of the Therapy Clinic Coordinator team, to provide a cross site service for the booking patient Therapy appointments.

  • To be responsible for managing clinicians’ diary templates
  • To make sure that all new patients are registered
  • To update patient information on systems, as and when required to ensure timely accurate data.
  • To book new and follow up appointments in line with the Trust Access policy, ensuring patient choice and optimal use of staff diaries/clinics.
  • To provide administrative support to the therapy outpatients service.
  • To act as first point of contact (via reception and telephone) for all patients, staff and visitors to the therapy department.
  • To liaise with other departments to ensure seamless patient care.
  • To maintain an exemplary standard of customer care and patient confidentiality.

  • To produce the induction documentation for new staff and students and arrange initial computer training and ID and car parking as necessary
  • To act as Fire, Training, DSE, IT, Single Point of Contact for Security and Intranet Administrator
  • Support office risk assessments
  • Ensure office upkeep and stock (PPE, stationary, estates requests, IT requests)
  • Create and maintain the Appointment templates
  • To assist the Team lead with any tasks identified within the team.

Essential criteria

  • GCSE English and Maths pass or equivalent
  • ECDL or equivalent
  • NVQ Level 3 Administration or equivalent practical knowledge

Desirable criteria

  • Knowledge of trust patient appointment and hospital systems


Experience


Essential criteria

  • Experience of working in a hospital or busy office environment.
  • Significant experience in difficult patient/client situations
  • Minimum of 1 year customer care experience

Desirable criteria

  • Call centre experience
  • NHS experience

Skills/Knowledge

Essential criteria

  • Demonstrate attention to detail and accuracy when completing tasks
  • Excellent customer service skills and evidence of dealing with telephones and meeting targets
  • Time management skills
