Job Purpose:

To ensure that the reception area of the Practice runs smoothly, provides a high level of service to patients, doctors, nurses and other members of the Practice team

Duties and Responsibilities

Telephone Duties

1.

Making appointments

2.

Taking requests for prescriptions

3.

Giving out results

4.

Ambulance transport bookings

5.

Home visit requests

6.

Deal with general enquiries and complaints

7.

Contacting other providers

Reception Duties

8.

Register new patients and temporary residents

9.

Greet and direct patients and visitors

10.

Making appointments

11.

Handing out prescriptions and record in book

12.

Ensure outstanding queries are explained and handed over to next shift, as necessary

13.

Respond to needs of doctors and nurses during surgery

14.

Collect payments from patients for non-NHS services

15.

Deal with general enquiries and complaints

Filing

16.

Pulling Lloyd George envelopes when requested by doctors/ Scanning.

Prescriptions

17.

Dealing with requests for repeat prescriptions

18.

Raising prescriptions as per Practice protocols

19.

Dealing with queries relating to repeat prescriptions

General

20.

Input and extract information from Practice computer system

21.

Observe health and safety guidelines at all times

22.

General housekeeping (e.g. keeping reception and waiting areas tidy)

23.

We are currently looking for a Receptionist/Administrator between 16/25 hours a week over 5 days who excels in customer service, has strong communication skills and team spirit. Must be able to cover holidays and sickness. hours ranging from 8am - 6.30pm

We would prefer a candidate who has GP Practice experience, but ultimately, we are looking for the right person for the practice and will consider transferable skills.

Ideally the candidate will have experience of using clinical systems (We are using EMIS)] and be familiar with tasks, filing, coding, recalling patients.

The candidate will be someone who is able to manage change and feed in to Practice development. We require flexibility and willingness to part take in learning events and personal development.

The duties and responsibilities to be undertaken by members of the Practice administration are included in the job description and may include any or all of the items in stated, which is not exhaustive. Duties may be varied from time to time under the direction of the Practice Manager, dependent on current and evolving Practice workload and staffing levels

Job Summary:

To assist to the practice team in the day to day running of the surgery in a positive and courteous manner.

Job Responsibilities:

  • To have a thorough knowledge and work in accordance of all practice policies and procedures.

  • Pulling and filing notes,

  • Photocopying as requested,

  • Scanning/ Coding of hospital letter and results.

  • Liaising with members of practice team and community services as necessary

  • Handling completed repeat prescriptions to patient and checking names and address.

  • Be able to cover all reception positions as necessary.

  • Deal with home visit requests.

  • Process repeat prescription requests in accordance with practice guidelines.

  • Any other tasks allocated by Management
