We

are seeking an enthusiastic, motivated, and flexible individual to fill the position of Ward Clerk on our busy Children's Assessment Unit. We are a dedicated team who pride ourselves in providing an excellent standard of care to our patients and supporting our wonderful clinical staff. We are a busy, forward-thinking department where teamwork is paramount and good customer care essential.

This role will involve working on the ward reception desk, welcoming patients and families, inputting the admission, transfer and discharge of patients, taking and making calls to patients, other Trust staff and external teams, answering queries from and signposting visitors to the unit, notes management, and other general administrative duties. Our Wards deal with a high volume of patients and families daily.

Our ideal candidates will thrive in a busy, fast paced environment, enjoy dealing with a variety of people both face to face and over the telephone, be flexible to the needs of the service, and also be able to manage competing priorities efficiently. Our ward clerks currently cover a 7 day week 365 day service, on a shift basis, these hours may be extended to 24 hr cover.

Candidates should have a good level of experience working in an administrative environment and must also be computer literate. Previous NHS experience and knowledge of hospital systems would be an advantage.

Key Responsibilities


  • Maintain accurate computer and manual records relating to the admission, transfer, and discharge of patients.
  • Maintain the integrity and security of patient Health Records at all times and especially take note of the Health Records Standards and Procedures and Record Keeping Policy.
  • Obtain case notes as required.
  • File investigation results.
  • Ensure that medical notes and trolley are kept tidy and updated.
  • Liaise with the portering department or discharge lounge to arrange transfers and discharges of patients and their property.
  • Carry out basic office tasks for the ward i.e., photocopying, general filing, etc.
  • Act as ward receptionist dealing with personal callers and helping to promote good public relations. Deal with telephone calls ensuring that they are diverted to the appropriate person. If necessary, take messages and ensure that they are distributed according to the local guidelines.
  • Any other duties as agreed with the Line Manager and Ward Manager.

  • GCSE English, Grade C or above
