Band 4: £26,530 to £29,114 a year P/A  FIXED TERM 
Raise requisitions/purchase orders; submit journal transfers and material transfer agreement and service level agreements requests.

(1) RehabHRC Programme Management support (approx. 30%)

  • To provide management support to the HRC Programme Manager and Directors across the full range of RehabHRC activities, including objectives, miestones and key performance metrics
  • Collaborate with a wide group of stakeholders to ensure support levels are delivered and maintained
  • Support the HRC Programme Manager to ensure that activities comply with the rules of the NIHR and are conducted within the schedule of the project; that reports are submitted within the deadlines and that internal and external administrative/financial queries are resolved effectively
  • Maintain appropriate logs and registers and key performance metrics to support reports and communications.
  • Raise requisitions/purchase orders; submit journal transfers and material transfer agreement and service level agreements requests
  • Adhere to project timelines
  • Track/monitor project progress, including project finance oversight, in accordance to project plan.

(2) Administrative support for workshops, innovation events and conferences (approx. 25%)

  • Coordinate the booking of team members to attend national conferences and workshops. Chief amonst these is the Innovation Events that will include a wide range of professionals, non-professionals from health and social care, industry and academia.
  • Coordinate itinerary/agenda for specific workshops and consensus meetings
  • Liaise with conference organisers to ensure relevant equipment, furniture and electrics are booked
  • Arrange room hire, travel, accommodation and refreshments as appropriate

(3) Administrative support for governance and management meetings (approx. 25%)

  • Arrange meeting dates and attendees lists with Programme Manager and Directors
  • Arrange room hire, travel, accommodation and refreshments as appropriate
  • Arrange teleconference / Teams meetings as required
  • Ensure meeting minutes are taken, filed and distributed appropriately

(4) Support for communications, including newsletters, webpages and social media (approx. 20%)

  • Develop and publish materials for internal and external websites and newsletters
  • Support the creation and posting of social media articles
  • Liaise with external contacts to publish online materials

(5) Other

  • Any other duties appropriate to the grade and role of the post holder

The post holder will support the HRC Programme Manager to deliver the day to day operational management of the NIHR RehabHRC. They will work closely with the Programme Manager, the Director(s), Innovation Manager and the PPIE Manager along with other key stakeholders including industrial partners and other stakeholders within the NHS and outside. They will provide management support for the operational activities of the HRC and facilitate key meetings, including the Operational Management Board; Internal Steering Board; Independent Advisory Board; Equality, Diversity and Inclusion Group; Selection Panel; PPIE Group and the Industry Engagement Panel.

RehabHRC is centred on the National Rehabilitation Centre (NRC) with three partners NUH, the University of Nottingham (UoN) and, Loughborough University (LU). It is expected that the post-holder will work closely with these organisations. Moreover, reflecting the East Midlands thriving HealthTech ecosystem the post-holder will work with other organisations across the region, including Healthcare, Academic, Industry, and independent partners.

Specifically, the role will:

Work closely with the NIHR RehabHRC Programme Manager, Director(s), Theme Leads and Innovation Manager to support the implementation of the HRC Programme.

Provide management support for operational activities of the HRC, including collating and presenting information for reports to external and internal stakeholders, managing data on KPIs and project milestones, coordinating and administering meetings, travel and events as required.

Provide support for and facilitate key meetings including: the Operational Management Board; Internal Steering Board; Independent Advisory Board; Equality, Diversity and Inclusion Group; Selection Panel; PPIE Group and the Industry Engagement Panel.

Provide day-to-day administrative and management support to the NIHR RehabHRC Programme Manager and Director(s)

The role will be based on site, with some flexibility for hybrid working.
