You will
Act as the Business Assistant to the Brand General Manager for La Roche Posay & CeraVe:
- Take care of all administrative and technical assistance for GM, acting with discretion and proactivity
- Full diary management and forward planning for meetings, circulating agendas, sending announcements etc.
- Plans, organises and coordinates team meetings and team social events.
- Arranges internal, national and international meetings as per GM request.
- Arranges relevant travel and accommodation.
- Arranges inductions, organise mid and end of year reviews for the team with the GM
- Co-ordinates expenditure including collating expenses and raising Purchase Orders.
- Liaises with internal and external clients in a professional manner at all times, acting as a representative of the brands.
- Draws up and maintains presentation files with updated marketing data.
- Coordinates the arrival of new employees (equipment, transfer files, FIT course planning, IT requests etc.)
- Arrange agendas and support for national, international visits and field visits; make room bookings, order catering, arrange technical support, take minutes and arrange relevant travel and accommodation.
Provide Additional Support To Executive Assistant For Managing Director
- Support Managing Director Executive Assistant with cross-division activities; such as divisional-wide meetings as required or the day to day running of the wider team e.g. PO raising, stock room access, lockers, stationary orders, business card ordering.
- Provide cover for the MD EA when they are absent.
You have
- Excellent communication and influencing skills with experience of building relationships across an organisation
- Problem solving and prioritisation skills
- Solutions orientated mindset with the ability to work at pace and cope with ambiguity
- Strong customer service philosophy
- Proven experience of process-improvement and creating a culture of continuous improvement
- Strong planning and organisation skills – with an ability to appropriately re-prioritise and change as required
- The ability to work to a high degree of accuracy and meet deadlines
- Advanced MS Office
