The post holder will be responsible for providing secretarial support to the Family Services Senior Management Team, this includes:

Group Chief of Staff

Group Director of Operations

Group Director of Nursing

Group Director of Midwifery

The post holder will be responsible for providing secretarial support to the Family Services Management Team. The nature of this post requires the post holder to have a high level of tact and diplomacy, as well as strict adherence to the rules of confidentiality.

The post holder will be responsible for providing secretarial support to the following colleagues within the group:

Group Chief of Staff

Group Director of Operations

Group Director of Nursing

Group Director of Midwifery

Senior General Manager

The post holder will act as the first point of contact for enquires for service users and external stakeholders and will need to ensure compliance with the strict rules of Data Protection and Caldicott Guidelines.

To provide comprehensive secretarial service to the Family Services Senior Management team. Responsible for the maintaining and co-ordination of the electronic diaries of the management and manage an effective bring forward system, resolving conflicting diary appointments where necessary.

To organise and schedule ad hoc meetings and pre-meetings, draft preparation, collation and distribution of agenda and supporting papers, attending meetings to take minutes/ notes as required and follow up actions required of others.

An aptitude for organisation systems, including document control systems, staff personal files, claims, invoices and orders is essential.
