Exciting Opportunity for a Site Receptionist


We are searching for a Site Receptionist to join our talented team based in Renfrew.

As Site Receptionist, your role will be to attend to visitors and deal with inquiries on the phone and face to face. You will also supply appropriate information regarding the organisation to the general public, clients and customers, and support with general administration duties to the Operations Department.

This is a permanent position working 37 hours per week. Due to the nature of the role, it will be site-based.

What Needs To Be Done?


Front Desk Management

  • Greeting Visitors: Welcoming clients, contractors, and other visitors, directing them to the appropriate person or department.
  • Managing Incoming Calls: Answering and routing phone calls professionally, taking messages, and addressing inquiries when possible.
  • Visitor Log Maintenance: Keeping a log of visitors entering and exiting the premises for security and record-keeping purposes.

Administrative Support

  • Appointment Scheduling: Coordinating and scheduling meetings and appointments for staff members, ensuring there are no conflicts.
  • Mail Handling: Receiving, sorting, and distributing incoming mail and packages, and managing outgoing mail and courier services.
  • Document Preparation: Assisting in the preparation and formatting of documents, reports, and presentations as required by the engineering team.

Communication and Coordination

  • Internal Communication: Acting as a liaison between different departments to facilitate smooth communication and operations.
  • Event Coordination: Assisting in the planning and organization of company events, meetings, and conferences.

Customer Service

  • Client Interaction: Handling inquiries from clients, providing information, and directing them to the appropriate personnel.
  • Feedback Collection: Gathering feedback from visitors and clients to improve service quality and address concerns.

Data Management

  • Database Maintenance: Updating and maintaining contact lists, client information, and other relevant databases.

Compliance and Security

  • Security Protocols: Enforcing company security protocols, such as visitor badges and access control, to ensure a secure working environment.
  • Confidentiality: Handling sensitive information with discretion and maintaining confidentiality at all times.

To be successful you must have …

  • Administration experience.
  • Excellent communication skills.
  • Ability to identify and implement improvement.
  • Previous experience in a similar role would be desirable, but not essential.
