About the Role


The post-holder will contribute to providing an efficient and streamlined patient pathway specialising in theatre admissions and the role will include accurate and timely input and reporting of patient data, tracking and follow up of diagnostics/pathology results. The post-holder will ensure achievement of all performance targets and that patients receive their care within their Referral to Treatment time.

The role of the job is extremely demanding and a high degree of accuracy and attention to detail is required at all times. You are required to use a great deal of initiative and competency whilst exercising a high degree of confidentiality. You will be required to effectively manage different requirements for multiple contracts.

An excellent telephone manner, ability to empathise with patients and willingness to find a positive solution to any query is essential.

This post necessitates telephone, face-to-face, electronic and written communication with users of the service, particularly with service users.

Your Day to Day

  • Implement all administrative processes along the patient pathway to ensure the patient's journey is managed efficiently, smoothly and in accordance with targets and agreed timescales.
  • Deal with enquiries and theatre bookings and rearrange existing appointments. Manage and ensure patient RTT targets are met. This will include tracking patients to all key milestone dates and working with colleagues to ensure plans are in place for those patients. Collate and escalate potential appointment breaches outside of targets.
  • Ensure all diagnostic results are up to date and reported to the Consultant within required timescales and appropriate action taken.
  • Liaise with Clinicians, hospital staff, GPs, colleagues & Patients on a daily basis in a professional manner
  • Deal effectively and promptly all telephone enquiries from key contacts including GP's, liaise with internal and external sources to resolve any problems, queries or complaints.
  • Communicate with and confirm bookings with the clinical staff.
  • Liaise and communicate with other support departments i.e.: Theatres, Radiology, Pathology, Medical Records etc.
  • Ensure patient confidentiality is maintained at all times, as per Pioneer Healthcare policies including appropriate use of email when dealing with confidential information
  • Utilise computerised tracking systems to locate case notes and investigation results.
  • Accurately complete procedure booking forms noting equipment/ consumable requirements and ensure these are ordered in advance of the procedure.
  • Compile patient pathway information required by our commissioners, for example outcomes, coding, current status.
  • Ensure accurate and complete input of all patient information on to the Patient Administration System, including clinical information and results.
  • Process computer and paper based case notes to ensure all notes are available, in the right order and all relevant reports and imaging are included for clinic and theatre bookings, ensuring the Standard Operating Procedure checklists are completed.
  • Working to tight deadlines to ensure that patient details are accurate including confirming appointments with patients and clinicians within predetermined timescales.
  • Processing and monitoring applications for funding from commissioners
  • Retrieve, log and return case notes/medical records, keeping these in accordance with organisational policy.
  • Provide support to other areas of the department as necessary, undertaking additional duties when required assigned by your line manager.
  • Ensure that organisational processes are adhered to at all times.
  • Provide cover for annual and sickness leave.
  • Ensure that all work leaving the department is of the highest quality in terms of presentation and layout.
  • Undertake additional duties when required assigned by your line manager.
  • Participate in team meetings and be actively involved in generating ideas for service improvement, and participating in any improvement projects as and when required.
  • Comply with all policies, procedures and working standards identified by Pioneer Healthcare.
  • Ensure that the reputation of Pioneer Healthcare is maintained in a positive way at all times.
