This is an Intermediary Labour Market (ILM) position offered in partnership with One Parent Families Scotland on a 9 month fixed term contract.


The Post


We have an exciting opportunity for you to join Public Health Scotland as a PA/Administrator through our ILM pathway. This will give the successful applicant the opportunity to join a supportive and progressive organisation whilst also having the opportunity to gain a Business Administration SQV Level 2 or 3 qualification at the same time.


Responsibilities


As a PA / Administrator you will support one of our Directorates by providing confidential secretarial and general administrative support. Key responsibilities will include:

  • Arranging and co-ordinating diary appointments.
  • Organising meetings and events, securing resources venues, catering, equipment etc as necessary.
  • Investigating possible travel itineraries for staff and coordinating arrangements where necessary.
  • Dealing with telephone calls in a professional manner, filter and direct calls, relay messages promptly and efficiently, and resolve any issues as appropriate.
  • Taking minutes at various meetings.
  • Using Microsoft package MS Teams/SharePoint/Word/Excel/PowerPoint to create and maintain documents.


The Candidate


To be successful in your application you will need to demonstrate the following:

  • Motivation to achieve a qualification in Business Administration SQV level 2 or 3. This is a qualification you will complete through on the job training and within your working hours.
  • Hold a HNC Secretarial Studies/Office Management/Business Administration or equivalent experience in a PA, Administrator or Secretarial role.
  • Good knowledge of the Microsoft Office suite, in particular Word, Excel, MS Teams and PowerPoint is required.
  • Be a team player with excellent interpersonal skills and outstanding organisational abilities.
  • Be able to deal confidently communicate with colleagues at all levels.
  • Be self-organised with excellent time management and prioritisation skills.

Location and Working Pattern:


This role will be based in Glasgow and will be offered on a hybrid, flexible working pattern.

Please note that PHS will be relocating from Central Quay, Glasgow to Bothwell Street, Glasgow in September 2024.

Whilst this role is full time Monday to Friday (37 hours per week), part time or compressed hours will be considered.

During times of public health emergency, or other urgent business need, you may be required on a temporary basis to work your normal contracted working hours over 7 days including weekends, in order to meet the needs of the service.

It is a condition of this employment that you must live and remain a resident within the UK for the post in which you will be employed with PHS.
