We are a large, friendly dual GP practice enterprise operating from purpose built premises in Beckenham.

We are looking to recruit an experienced Medical Secretary to complement our existing team.

The ideal candidate will be a competent Medical Secretary. Experience in a primary care setting is advantageous, as is knowledge of Emis Web and Outlook.

The post holder will be patient focused and driven to provide exceptional levels of care at all times.

We are looking for someone who is enthusiastic, motivated, friendly, diligent and conscientious. They will need to be able to work effectively in a fast paced environment, responding to changes, whilst remaining calm and methodical. They should have excellent interpersonal skills and effective written and verbal communication skills, with a high level of attention to detail.

We are looking for someone who is reliable, trustworthy and discrete.

Purpose

The secretarial team are responsible for the provision of efficient and comprehensive secretarial support to the practice. Duties should be undertaken in an accurate, professional and methodical manner at all times.

Duties:-

  • Ensure the smooth running of the secretarial service and prioritise workload as appropriate.
  • To answer telephone enquiries in a prompt, efficient and helpful manner.

  • To actively manage and respond to patient tasks prioritising where appropriate.

  • To use the digital dictation system to type referrals, clinical letters and reports as required by the doctors and nurses.

  • To refer patients via the e-referral system and oversee progress of those referrals.

  • To actively monitor the 2 week wait referrals and ensure appointments for patients have been secured and attended.

  • To liaise with hospitals and other outside agencies regarding appointments, missing hospital correspondence and test results.

  • To deal with enquiries from patients professionally and sympathetically.

  • To check and respond to secretarial e-mails. To send correspondence via mail and e- mail according to protocol.

  • Checking the eReferrals worklists daily making sure rejections / triage outcomes are processed.

  • To provide additional secretarial and administrative support to the practices as required.

You will be required to undertake all other duties that may be reasonably asked of you.
