Job Summary
Administration Officer for the South Careers Engagement Team. The successful applicant will be the pivotal contact for the Area CE team, ensuring that the group email/calendar are run according to the best practice guide on CE SPOL, the NVD is updated and to assist the CE with all administrative tasks.
This position is advertised at 37 hours per week.
Job Description
As the administration assistant within the team you will be responsible for:
- Monitoring the area multiuser outlook acct, managing the calendar, confirming visits/appointments, making overnight accommodation bookings and travel arrangements as required.
- Liaise with the area Hub and Satellites and ambassador team to obtain assistance at events
- Input any CE events onto the National Visits Database
- Maintain/Register all Engagement resources (tents etc)
- Order the material needed for MEL events from the CRN Graphics Catalogue.
- Preparation and dispatch of regular correspondence in support of CE activity including the annual CE introduction/newsletter to all Educational Establishments. Maintenance of the mailing lists
- Monitor area Power BI and update OC/WO on areas to be improved.
- Accompanying Area recruiting staff to events periodically to assist with routine admin and progressing of enquiries

If you are appointed, the project completes and you are still in the post on the date that the work transfers, you will transfer to a new employer under the TUPE Regulations.

Person specification
Being organised and having good interpersonal skills are highly desirable characteristics, as it will greatly assist with the daily tasks involved in this role. Most tasks will have a computer-based aspect, having a good knowledge of using common Microsoft applications (Outlooks, MS Teams, Excel, Word) would be beneficial. however, some applications may be unfamiliar, so it is expected that orientation and internal training will be required to become fully established in the role.

This is a non-contractual arrangement where all office-based employees will be expected to spend a minimum of 60% of their working time in office, subject to capacity and any required workplace adjustments.
