Mller Milk & Ingredients aims to be Britains private label dairy leader and produces branded and private label fresh milk, cream, butter and ingredients products. It boasts a network of dairies and depots servicing customers throughout the country.
We are looking to welcome a Reception & Facilities Co-Ordinator to our team. Were looking for experienced individual to to-ordinate all reception and facilities activities within the Nerston, East Kilbride site. You will continually strive to make it a well-run site and ensure all visitors are warmly welcomed.
The role is located at East Kilbride and is part-time (24 hours per week-Wednesday/Thursday/Friday and for a fixed term of 12 months).
Key Responsibilities For The Reception & Facilities Co-Ordinator
Ensure reception and the office is kept in a professional and presentable condition.
Greet and assist all visitors, colleagues and contractors with a positive and welcoming approach and ensure all appropriate procedures are followed.
Promptly answer and field all incoming calls efficiently and courteously.
Manage incoming and outgoing post and deliveries and keep logs of all items posted out on a daily basis.
Monitor, order and store all office and cleaning supplies; maintain appropriate stock levels.
Manage the creation of employee swipe card requests through to completion within agreed timelines.
Support administrative / reporting tasks as required.
Monitor meeting rooms and kitchen areas to ensure they are clean and suitably stocked.
Co-ordinate office car parking and maintenance of the office décor, plants, equipment and furniture.
Complete the Purchase Order receipting of site related invoices.
Keep all communal communication boards updated with relevant information.
Support with taxi bookings and company pool cars.
Organise site meetings, attend certain meetings and capture actions and track progress.
Assist with meeting room bookings and lunches and support with travel requests.
Co-ordinate general site/office facilities-contractors such as gardeners, window cleaners, tradesmen, scheduled testing of boilers etc.
Co-ordinate Health & Safety, Fire Wardens and tests and Sustainability activities.
Manage site inductions for new starters as required.
Identify and suggest cost-saving initiatives.
Key skills & experience for the Reception & Facilities Co-Ordinator:-
Exceptional communication skills.
Strong contractual background.
Ability to create new processes & procedures and problem solve.
Demonstratable experience in managing costs/budgets.
An agile, responsive and a collaborative mindset willing to get involved in a broad range of tasks.
