Job Summary
We are looking for an experienced and organised administrator to join our specialist treatment planning team here at The Christie. The post holder will play an active role in the organisation of a busy radiotherapy planning department, supporting the clinical team to provide a high standard of care. The successful applicant will be hard-working with excellent communication, organisational and IT skills to provide support to this technical service.
Main duties of the job
Working in a small administration team and at times autonomously, applicants will be expected to manage their own workload, working flexibly to meet the demands on the department. The successful candidate will be asked to work 10am - 6pm, to provide admin and operational support throughout the working day.
The postholder will be an organised self-starter providing clerical and administrative support to mange patient workflow within a busy office environment, sometimes in high pressure situations. Whilst the role is not patient facing, you will be required to communicate changes in the treatment plan to patients over the telephone as well as communicating to stakeholders across the radiotherapy network.
The individual will need developed computer skills to use the relevant software used within the department, including Mosaiq, Adobe, excel as well as other Microsoft packages.
The team will support the practitioner team in the preparation of treatment plans, by transferring scans into dedicated planning software. This requires attention to detail and good hand eye coordination.
About Us
The Christie provides a radiotherapy service to a population in excess of 3 million in the Greater Manchester and Cheshire area. The radiotherapy physics group provides a comprehensive support service to clinical oncology including advanced radiotherapy and brachytherapy techniques such as IMRT, IGRT, VMAT, intra-cranial SRS, extra-cranial SABR, PDR and HDR brachytherapy treatments. In addition to the Withington site there are two operational radiotherapy satellite centres located in Oldham and Salford. These facilities provide local access to IMRT, IGRT and VMAT treatments for cancer patients. The centre at Salford also provides a stereotactic radiosurgery service. Completion of the Christie satellite centres has equipped The Christie radiotherapy network with a total of 14 linear accelerators across the three sites. The Christie team is delivering a National Proton Beam Therapy programme in conjunction with UCLH. Other exciting developments include participating in the international MR linac consortium with The Christie being one of the first hospitals in the UK to offer MRI-guided radiotherapy.

- Communicates with anxious and sometimes distressed patients concerning appointment changes requiring tact and understanding. Resolve any patient problems concerning treatment planning appointments
- Is responsible for ensuring case notes and relevant documentation is available to planning room staff
- Prepare documentation prior to the treatment planning process
- Maintain a daily diary of planning room activities
- Schedule radiotherapy treatment planning appointments to maintain workflow in the planning room and provide support to planning room staff by analysing and resolving administrative problems
- Prioritises and manages own work on a day-to-day basis in agreement with the Lead Practitioner and section leader. Some activities will be ongoing
- Is responsible for stock control within treatment planning
- Contributes and assists in the development and maintenance of administrative and organisational processes in the planning room
- Perform routine patient data transfer onto the clinical treatment planning system
- Required to work within the quality system and adhere to the local rules relevant to Radiotherapy
- Responsible for the accurate recording of planning and patient information on computerised systems and the correct filing of patient information in the notes, maintaining confidentiality at all times
- Accurately records meeting minutes where required
- Assists with the maintenance of the quality system
- Uses knowledge of integrated clinical system to produce statistical data
