This offers hybrid working, with a weekly requirement to attend office days in our Colchester location.
Collect, collate, analyse and produce workforce information reports on a regular and ad hoc basis in line with the information requirements of the organisation.
Provide advice to managers and colleagues on a range of complex issues including annual leave, timesheet and expense claim payments and sickness absence.
Assist the Workforce Data and Systems team with the Buying/Selling Annual Leave and Annual Leave Carryover process. Maintaining local spreadsheets and updating Annual leave on ESR and Healthroster as required.
Undertake administrative tasks including, evidence checking Long Service Award documentation requests, running IATs to bring across previous NHS service history and adding new leave plans onto ESR for new starters.
To support the People Services team with ESR, EASY, Healthroster & payroll processing. Ensuring data alignment with ESR to Easypay and Healthroster and vice versa to maintain data accuracy.
Undertake regular audits of information entered onto People systems to ensure data quality, integrity, completeness and accuracy of information held against staff records ensuring consistency with all systems.
Take corrective action in a timely manner to resolve any data errors, inconsistencies in system usage, application of policies and procedure etc., working with line managers, Finance and the People Directorate teams.
Support the People Services team with the generic email inboxes, responding to all queries in a timely manner.
Manage the Easypay system ensuring settings are correct and employee personal details and vehicles are accurate.
Support managers to resolve any local pay issues identified, escalating any complex pay issues to the Payroll Team.
Contribute to the development of guidelines, procedures and processes to support the maintenance and use of the workforce management system.
Support the co-ordination of Data Quality and Data Validation activities as determined by National guidance, ensuring People systems are accurately maintained.
Be the first point of contact in resolving issues relating to Workforce Systems escalating issues to the Head of Workforce Data and Systems and raising tickets on portals, where appropriate.
Create and maintain users on all Workforce Systems. Ensure that users are assigned the correct level of permissions and that appropriate authorisation is sought and received prior to providing super user/advanced levels of access.
