The Patient Pathway Coordinator (PPC) will work as part of the Clinical Genetics Administration Team, providing professional administrative support to the Genetics Clinical and Genetic Counsellor Teams, being the point of contact for internal and external partners including GP surgeries, Consultants, Primary Care Teams, based locally and those within our region.

The role is a mix of secretarial and administrative tasks - ensuring clinical letters are sent out in a timely manner, along with email queries. To ensure patient records are accurate and updated where necessary. The PPC will ensure operational targets are adhered to with regards to communication of results to patients, relevant clinicians and GPs.

The successful applicant will also be expected to be an excellent team player, who will be willing to cover their colleague's roles when necessary.

  • To be responsible for the smooth running of the off-site transcription service for the clinical team, within Trust targets. This will include the uploading of dictation and the downloading of completed correspondence within an appropriate time frame.
  • In addition, the post holder must check all downloaded correspondence to ensure the patient demographics are correct, and the substance is accurate. After sign-off by the relevant clinician, all correspondence must be sent to the recipient in a timely manner and scanned to the patients' medical records held on Geneworks, the Genetics Database, as appropriate. It is expected that this process should be completed within five working days (current standard).

o To be responsible for the updating of medical records on Geneworks the Genetics database, and the Trust's Patient database, iCLIP with patient's details.

o To provide excellent customer care, to be polite, courteous and provide timely, relevant advice and assistance to patients.

o To communicate well with the rest of the administrative team and work together to resolve staffing or urgent issues.

o To ensure that any enquiries are handled in a courteous and tactful manner and problems are dealt with promptly and efficiently.
