The Operations Manager role at Redwood House Surgery in Maidenhead is a part-time position aimed at enhancing the practice's efficiency and patient services. The successful candidate will work closely with the Practice Manager, assisting in various operational aspects, such as staff management, administration support, and problem resolution. Responsibilities include managing clinic planning for successful patient recall, handling crises related to service disruptions, and overseeing IT, HR, communication, and CQC preparation.

The Operations Manager will also focus on improving operational processes, ensuring staff training for multi-skilled capabilities, maintaining effective communication with both staff and patients, and supporting practice management with projects and administrative functions. The position requires familiarity with NHS healthcare settings and emphasises the importance of maximizing patient healthcare outcomes, compliance with relevant regulations, and maintaining a well-organized work environment.

This part time role has been set up to help us develop a practice fit for the future. This role will help to ensure the smooth running of the practice and provide efficient patient service.

The Operations Manager will work closely with Practice Manager assisting her with many aspects of running the practice, managing staff, providing administration support, working closely within the existing teams, dealing with problems as they arise and project managing.

Patient healthcare needs are at the forefront of our practice day to day operations, you should be familiar with QOF achievement and the NHS healthcare setting. You will assist in the planning of clinics to ensure we have a successful patient recall system.

Management of the teams and individuals will be required particularly in the Practice Manager absence along with crisis management of issues such as disaster management, loss of services such as IT Equipment, telephones, etc.

The role will involve all aspects of the practice including premises, IT support, HR, communication, CQC preparation, practice administration and interaction with patients.

You will assist the Practice Manager with the day to day running of the practice, this may include preparing rotas, project management, assisting patients with queries, data entry, meeting minutes adn organsation for example and many other duties.

Tasks:
1. Work to identify and resolve any problem areas which arise and escalate any problems including any staffing issues to the Practice Manager.
2. Recommend improvements to how we could work more efficiently and review administration systems so there are established efficient ways of working.
3. Ensure staff are trained to provide cover for all the administrative functions and patient queries so we have a multi-skilled flexible team.
4. Communicate with all staff and keep them up to date.
5. Responsible for communications with patients including complaints handling, website, online patient access, patient newsletters.
6. Support practice management with new projects and developments and practice administration.
7. Ensure the practice maximises patient healthcare so we achieve maximum QOF achievement.
8. Assist Practice Manager with recruitment and HR functions.
9. Review and maintain up to date polices and practice administration such as minutes.
10. Help to organise staff rotas and coordinate holiday requests to ensure there is adequate cover at all times.
11. Ensure the work environment is kept clean, tidy and well organised, paying due attention to health and safety.
12. Ensure the practice is compliant with any NHS, Information governance, CQC, or health related requirements.
13. Work closely with the Practice Manager to provide support as and when required.
