Main responsibilities include:

Responsibility for financial and physical resources:

Monitor consumable stock levels including updating, checking, storing, reporting and initial stock control as necessary using Unit 4.

Staff

To work as part of a team providing administrative support to consultant and laboratory staff

Pathology Office

Secretarial/PA support for the consultants and key team members within team-rostered arrangements.

Responsible for the production and circulation of all diagnostic/screening reports, correspondence and other communication using all/any latest available technology in support of the Diagnostic and Molecular Pathology service.

Responsible for maintaining computerised patient files & when accessing information/operational systems such as PAS/WinPath/Maxims within Trust policy.

Responsible for organising & ensuring Consultants full participation in Trust-wide Multi-Disciplinary Team meetings and other Cancer Agenda requirements.

Take & process telephone calls in accordance with Trust/Directorate policy and in an appropriate manner.

To obtain & return patient related data (case-notes etc) according to Trust policy.

To sort, distribute and prioritise internal/external post and e-mail.

To generate note-taking & audio-typing, utilising the ability to accurately transcribe dictation, understanding the context and re-arranging as necessary, especially with strongly accented diction.

To maintain good communication & relations between consultants/departments and requesting consultants, GPs, other requestors & external agencies.

To development &/or maintain databases and produce statistics & presentations via Excel/Access/PowerPoint and other systems.

To maintain up-to-date diaries, electronically &/or manually and arrange appointments and organise & attend as necessary, meetings and conferences.

To take minutes and disseminate resulting information if required.

To develop &/or maintain optimum filing systems, electronically &/or manually & ensure computer files are subject to regular housekeeping.

To package, record on database and send away blocks/slides for second opinion.

To assist colleagues in the photocopying/laminating of any documents.

To chase reports to ensure deadlines are met.

Recording and typing of minutes of secretarial meetings.

Any other duties commensurate with the post.

To be aware of and adhere to the requirements, policies and procedures of the Quality Management System operating in Pathology.

Undertake appropriate mandatory training.

Safety

To work in a safe manner, in accordance with the Trust and Laboratory safety policies, using Personal protective equipment and other control measures when required

To attend annual mandatory security, safety, fire and manual handling training

To attend regular office briefing meetings and tutorials.

To liaise with other RCH Pathology departments, external referring pathology departments, external reference laboratories, and service suppliers

This is an exciting opportunity for the right candidate to join our team to carry out a varied and challenging role as the Deputy Laboratory Administration Manager within the department of Diagnostic & Molecular Pathology (Cellular Pathology). The department provides a range of diagnostic services which includes Histopathology, Cytopathology, molecular diagnostics & Coronial post mortems. The department also supports other departments within the Trust via MDT attendance & via the continual tracking and monitoring of cancer patients' treatment pathways to help deliver national waiting time targets.

The Deputy Laboratory Administration Manager will provide administrative support to the department & specifically support the department in trying to achieve our cancer turnaround targets. This will include the tracking and collection of histopathology related data on all patients with suspected or confirmed malignancy. Updates will need to be reflected in the cancer PTL /SCR. Previous experience/knowledge of both histopathology reporting & the PTL/SCR would be an advantage.

The successful candidate must have a flexible approach, possess excellent communication skills, must be reliable, well organised and able to work as part of a team or independently.

This is a permanent post working for 37.5 hours per week (Mon-Fri) & is based at the Truro site.

Main duties include

Provide comprehensive secretarial & personal assistant support to more than one nominated consultant & key team members across more than one specialty.

To undertake all aspects of administrative work associated with the Diagnostic and Molecular Pathology service.

Operate within a highly flexible team for the effective overall delivery of patient care, through multi-disciplinary working and knowledge of consultant, specialty, hospital & inter-agency practice.

Maintain optimum communication between consultants, other key Directorate staff & other health professionals and associated agencies.

Maintain a comprehensive knowledge and understanding of medical terminology across all health clinical specialties in Acute & Primary Care.

Support Consultants and key team members in the delivery of other roles - such as Clinical Director, Head of Department, Governance Lead.

Maintain absolute patient confidentiality in accordance with the Trust Policy.

Provide support to the Laboratory Administration Manager & cover duties as required.

Monitor & maintain the PTL/SCR providing daily updates on the progress of histology samples.

Provide support at the Cancer Action Board & the Cancer Action Delivery Board meeting as required.

Monitor the return of external reports from outsourcing & ensuring they are accurately transcribed on the laboratory information system for authorisation as soon as possible.

Provide admin support for the post-mortem/HTA service.
