HOURS: 25hours (maybe 30 hours per week) shift pattern. Working Monday-Friday.
PAY RATE: £11.44 p/h
ACCOUNTABLE TO: The Practice Manager
JOB SUMMARY
To provide assistance to doctors, patients and practice staff. The post involves providing a point of contact for patients and acting as a focal point of communication between patients, doctors and other staff.
PRINCIPAL RESPONSIBILITIES
1 Reception duties
1.1 Welcoming and directing patients and other visitors on arrival.
1.2 Answering the telephone politely and promptly and resolving any difficulties demonstrating excellent patient service skills.
1.3 Ensuring all calls that are medically urgent, are put through to the doctor on call.
1.4 Acting as a chaperone for the doctors as required.
1.5 Taking telephone or verbal requests for home visits, recording them on SystmOne and passing the request to the appropriate doctor.
1.6 Recording any petty cash taken during surgery.
1.7 Photocopying documents as requested.
1.8 Arranging transport to and from hospital for out-patient appointments.
1.9 Booking ambulances when requested by the doctor.
1.10 Filing prescriptions, and issuing them to patients when requested, first carrying out the appropriate checks.
2 Management of the Appointments System
2.1 Ensure total familiarity with all appointment systems in effect, operating the computer as necessary.
2.2 Make new and follow up appointments for doctors and other professionals working within the practice, including oral and telephone requests.
2.3 Booking the treatment room for minor operations, coil fits, or as requested by Clinical Staff.
2.4 Ensure all new patients registration forms are correctly completed. Ensure that patients are aware of ways of accessing primary care services
2.5 Alerting the doctors or nurses to any latecomers, cancellations, non-arrivals or extra patients and providing notes when appropriate.
3 Medical Records
3.1 Retrieve and re-file records as required, ensuring that strict alphabetical order is adhered to.
3.2 Ensure that records are kept neat and tidy and in good repair with all necessary information recorded correctly on the outer cover.
4 Start and End of Day Procedures
4.1 Switching on reception computers at start the start of the day if on the earliest shift, and switching them off at cease work, in the evening.
4.2 Ensure that telephone system is operational at the beginning of the day and switched over to the night service at the end of each day.
4.3 Restock prescription paper and printing paper in the clinical rooms at the end of the working day.
4.4 Leave the reception and waiting area tidy and ready for incoming colleagues, together with information regarding unsolved or urgent problems in the handover book.
5 General duties
5.1 Using your smart card appropriately and guarding against loss or theft.
5.2 Complying with all Health and Safety legislation and procedures, particularly in the handling of hazardous substances (blood, urine, faecal samples).
5.3 Maintaining Patient and Practice Confidentiality at all times, with particular regard to the requirements of the Data Protection Act.
5.4 Complying with all practice policies and protocols.
6 Any other duties which may be required and agreed with the practice manager.

We are looking for an experienced receptionist to join our happy team at West4GPs in Chiswick. Medical/NHS receptionist work is preferable, but any reception work in the past can be considered.
You will work on a shift pattern of one week earlies and one week lates working Monday to Friday. Early shift will start from 7.30/8am - 1:30pm and a late shift would be from 12:30pm until 6.30pm. The hours are 6 hours per day.
We are a forward thinking practice and are keen to develop our working pattern as well as currently utilising new technologies such as e-consult, remote working and telephone triage.
Previous experience in General Practice and SystemOne would be an advantage.
The successful candidate will take on a role of delivering excellent customer service to our patients, being able to multi-task in a busy environment, and be a great team worker. We are looking for somebody who is dynamic, friendly, enthusiastic and willing to work to develop both individually and for the practice.
We are a large practice with approx. 10,000 patients registered. The practice can be extremely busy at times, so we need someone who is hard-working, resilient and able to work under pressure. You will be working closely with the doctors and nursing team to assist their requests. You will also need to be flexible to cover holiday and sickness.
