This role offers an exciting opportunity for a full-time Administration Manager in Aneurin Bevan Specialist Drug and Alcohol Service (ABSDAS).
The post holder will provide support to the Management Team in the delivery of services within ABSDAS. They will line manage the Administrative Team and Medical Secretaries with responsibility for the planning, co-ordination and organisation of the administration system, including professional leadership. This will incorporate all aspects of the Human Resources policies, i.e. recruitment and selection, capability, grievance and absence management, undertaking PADR's and cover arrangements.
The post holder will also play a vital role in supporting the Senior Nurse, Speciality Services and the Consultant Psychiatrists in the delivery of IT projects to identify opportunities for service modernisation. This will include acting as the service liaison link with the Clinical Informatics Team.
To be responsible for the day-to-day management of the office and the development, implementation and maintenance of office practices and procedures to ensure that all non-clinical requirements of the team are met.
To set up, administer and supervise the maintenance of administrative systems using a spreadsheet, database or dedicated Health Board information system (including clinical and operational) ensuring that all information is readily available for presentation and use for statistical returns.
The post holder will be responsible for training, induction, day-to-day management, supervision and annual PADR's of administration staff.
To set standards to ensure the provision of a reception / front house service, ensuring that telephone calls, correspondence and direct contacts with clients and other internal or external agencies are dealt with in an appropriate and professional manner, encouraging staff to use judgement and discretion where necessary and to refer complex matters to relevant senior members of staff.
To challenge in a positive manner current working practice promoting a culture of continuous improvement, ensuring patient flow and productivity.
To take responsibility for the administration of the Colleague-Patient (HART) service within ABSDAS and all necessary processes to maintain the smooth running of this part of the service.
