We are currently recruiting a booking coordinator to join our specialist team at The Royal Brompton Hospital, Chelsea. Our excellent services are recognized worldwide, the specialist skills offered at our Centre will be transferrable for career progression.
This administration role is aimed at current band 3 booking coordinator looking for career progression and additional admin responsibilities. The post will suit a well organised, hardworking, efficient, and enthusiastic person, who will be responsible for the running of the appointment booking system, reception duties, answering telephone inquiries and liaising with clinical staff at all levels.Customer service experience is essential. Previous experience of working within in a high demand, team-based environment is required. Ability to work within strict time deadlines, whilst retaining accuracy and attention to detail is required.

- Answers the telephone in an appropriate manner and directs calls to the relevant person/department when required. Answers queries from patients, GP's, other hospitals relating to patient investigations and the results of the same, along with technical questions concerning any technical equipment.
- Uses and develops effective communication skills. Able to communicate appropriately with other staff members, other departments throughout the trust, consultants, patients and their relatives.
- Aware of procedures involving patient/visitor/staff complaints.
- Patient/customer care
- Book non-invasive appointments using EPIC confirming, cancelling and changing appointments as necessary
- Ensure patients are communicated with effectively in relation to their appointments via email, telephone or letter.
- Courteously and efficiently receive all telephone inquiries in line with the Trust's Service Standards from patients, carers and external agencies (in accordance with data protection and patient confidentiality requirements) ensuring that accurate records, both manual and electronic.
- Work closely with staff to monitor appointment attendance, cancellations and DNAs
- Ensure that patient telephone calls are answered in accordance with Trust policy.
- Deal with concerns / complaints as appropriate.
- Arrange transport and translators as required.

- To provide a comprehensive administration, booking and appointment service for non-invasive Cardiac Physiology and ensure compliance with waiting time targets.
- To provide reception cover if required to the pacing clinic.
- To provide an excellent service to patients, their relatives and careers.
Main tasks and responsibilities
- Provides support to Cardiology Department Participates in quality control and technical audits.
- Maintains a high standard of clinical practice.
- Ensures that all patients, their relatives and visitors are acknowledged in an appropriate and friendly manner at all times.
- Ensures that patients privacy, dignity, religious and cultural beliefs are respected.
- Answers the telephone in an appropriate manner and directs calls to the relevant person/department when required. Answers queries from patients, GPs, other hospitals relating to patient investigations and the results of the same, along with technical questions concerning any technical equipment.
- Uses and develops effective communication skills. Able to communicate appropriately with other staff members, other departments throughout the trust, consultants, patients, and their relatives. Facilitates good liaisons and working relationships with other disciplines working within the department.

- Book non-invasive appointments using EPIC confirming, cancelling and changing appointments as necessary in an accurate and timely manner, escalating issues and queries to line manager as appropriate.

- Deal with concerns / complaints as appropriate.
- Arrange transport and translators as required.
- Provide reception services for patients, receiving patients to the department, capturing the outcome of their appointments and making follow up arrangements where applicable.
- Work closely with staff within the Divisions to monitor appointment attendance, cancellations and DNAs, timely completion of diagnostic tests and ensure follow up arrangements are made.
- Any other duties, clerical or otherwise, which are commensurate with the role of this post.
- Policy & Service development
- Participates in Cardiology Department meetings providing input to the development of policies. Assists in the implementation of these policies.
- Enters data into the departmental databases and appointment system. Checks all entered patients details to allow efficient tracking of results.
- Trained to use EPIC to track patients, medical records and appointments.
- Ensures adequate documentation of all patient records. Reviews technical reports following patient investigations, prior to their release to other hospitals, GPs, consultants.
To undertake any other duties commensurate with the grade as requested.
