An exciting opportunity has arisen in the Proton Beam Therapy Service for an enthusiastic individual to join the admin, clerical and patient support team. The post holder will be responsible for a wide range of clerical and administrative duties and will be the first point of contact for many patients; they will be an essential part of the team assisting patients as well as colleagues and visitors to the department. It is preferable for candidates to have some experience of working in a healthcare setting but not essential as training will be provided for this specialised role
This post is part time 30hrs a week over 4 days - 12 month contract.
Example shifts include 7am-3pm and 11am-7pm with occasional weekend work (approximately 2-3 per year).

The receptionist is an essential part of the clerical, admin and support team for the department and will include meeting and greeting patients on arrival to the department, answering telephone enquiries, creating, amending and out-coming appointments as well as management of the department reception areas. This role includes a range of administrative duties, using Trust systems to record and maintain patient records. Good IT skills in addition to the willingness and commitment to learn multiple Trust IT systems are necessary.
Applicants should possess excellent communication skills as they will be supporting patients and carers of all ages, including a large number of paediatric patients and families travelling from all over the UK.
Applicants should have a strong team work ethic and be willing to interact with a range of professions.
As a novel service flexibility is essential to meet the needs of an evolving workload. Therefore, the post holder will need to have a flexible attitude to work, with the ability to adapt when the service requires. Current clinical hours of the service are covered by a range of shift patterns as described in the job description and are distributed evenly amongst the team.

- Meet and greet patients attending the Proton Beam Therapy Centre
- Using effective communication skills when dealing with enquiries, providing empathy and reassurance to service users, relatives and visitors who may become aggressive, or emotionally distressed, referring them to the appropriate person or department for further assistance
- Exchange information with patients and staff, both verbally and in written format

Knowledge, training and experience
- Access patients demographic details on relevant clinical systems and amend as necessary
- Enter patient details onto the relevant clinical systems
- Provide comprehensive advice to patients/relatives regarding appointments
- Track patient case notes in relevant clinical systems
- Deal with queries from patients and other service users, for example GPs, hospital staff, social services, voluntary organisations and Trust management
- Liaise with other members of staff regarding case notes and patient visits
- Resolves issues arising in own role, such as cancellation of patient appointments
- Uses own initiative to liaise with clinical staff where necessary regarding patient queries
- Use patient information systems to assist patients and staff
- Work in Medway system, requiring standard keyboard skills
- Use of office equipment including PCs, fax machine, and phones
- Maintain patient confidentiality at all times
- Follow all relevant policies and legislation
- Post holder is expected to follow all relevant protocols, and standard practice
- Work collaboratively with colleagues to ensure policies are adhered to

- Books patient transport where applicable and deals with transport queries
- Booking and scheduling of physiotherapy and complimentary therapy and support services on site

- The need for flexibility in this role is paramount as the post holder may be required to work in other locations and work flexible shifts
Patient Care
- Undertakes a range of different delegated duties across the Proton Beam Therapy Centre as allocated by the relevant line manager
- Record patient information and data and contribute to the implementation of patients clinical care packages

- Assists in the training and/or orientation of clinical support worker and any other students
- Complete Christie Care Certificate as mandated by the Trust
