Band 4: £26,928 to £29,551 a year per annum  PERMANENT 
The primary purpose of this role is to provide comprehensive support to the Assistant Director for Employee Experience and Wellbeing and the wider Employee Experience and Wellbeing team within CTM Health Board.

Established in 2020, the Employee Experience and Wellbeing Service is available to everyone who works for CTM UHB and itaims to support the emotional, physical and financial wellbeing of staff and to make CTM a great place to work. We are a standalone, confidential service. We believe that Wellbeing is more than just not feeling unwell. It involves enjoying life, having purpose, positive relationships with others, accepting ourselvesand feeling in control. It is something that needs to be nurtured proactively dailyto prevent problems arising. To help with this we provide a wide range of services matched to the level of difficulty staff are experiencing.

Our friendly team is part of the wider People department, we work together to support our workforce and ensure employees are well-supported and engaged to deliver high-quality patient care. This role is crucial in contributing to this.

The primary purpose of this role is to provide comprehensive support to the Assistant Director for Employee Experience and Wellbeing and the wider Employee Experience and Wellbeing team within CTM Health Board. This is a varied position where no two days are the same. The diverse responsibilities, include:

Managing the shared email account, handling sensitive queries, and escalating complex issues when necessary.

Supporting the Assistant Director for Employee Experience and Wellbeing with stakeholder relationships, weekly meetings, administrative tasks (typing, minute-taking, mail handling), and diary management.

Working collaboratively with colleagues to develop and deliver a range of initiatives associated with employee experience and workplace wellbeing and support the implementation of a selection of projects.

Build and maintain strong influential relationships with internal and external stakeholders.

Coordinating complex activities such as updating systems, maintaining intranet pages, creating presentations, and organising team meetings.

Maintaining stock levels, ordering merchandise supplies, and distributing information across the team.

Acting as the first point of contact for queries and providing support for both internal and external communications, including handling calls, emails, and letters from those in distress.

To plan and co-ordinate forums and communication groups to widen engagement with the Wellbeing and Employee Experience agenda

About us

We are seeking an experienced administrator or coordinator who thrives in a fast-paced, large organisation who has:

  • Proven experience in an administrative role within a busy environment. Ideally, you will hold a Vocational Level 3 qualification, but equivalent experience will be suitable.

  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, SharePoint, and MS Bookings, as well as strong typing skills equivalent to RSA III.

  • Experience in managing formal meetings, including preparing agendas, collating reports, and minute-taking. Excellent typing and audio-typing skills are essential.

  • A strong alignment with CTM values, demonstrating dignity at work and showing empathy in handling sensitive situations that may arise in the role.

  • The ability to work proactively and under own initiative and be able to foster good working relationships with staff at all levels.
