Band 4 Operational Support Assistant - Emergency Department with University Hospitals Birmingham NHS Foundation Trust in Birmingham, West Midlands
An exciting opportunity has become available for a full-time post to work in our Emergency Department at Queen Elizabeth Hospital. Working hours will vary between 7am -- 10pm with occasional flexibility required to meet service needs. The post holder will be a key member of the Operational Team, supporting the senior management team with various operational duties. Key responsibilities include: *Operational Performance: Monitor daily operational performance, including ambulance delays, 4-hour A&E performance, and departmental flow. You will use your knowledge and experience to judgement to address delays and escalate concerns as necessary. *Support Quality Improvement: Collaborate on enhancing departmental processes and workflows, participate in quality improvement projects, and implement best practices. *Medical Rostering: Provide comprehensive administrative support for Medical rostering, resolve day-to-day issues independently, and ensure compliance with departmental, Trust, and National standards. Act as the first point of contact for A&E Medical Rota enquiries and ensure accurate records linking to rostering rules and training requirements for medical trainees. *Information Management: Appropriately manage confidential, complex, and sensitive information about staff, exercising discretion and upholding professional standards. *Departmental Support: Develop a thorough understanding of the A&E department, assist with the development and implementation of efficient systems, and respond promptly to departmental issues and unforeseen challenges to ensure the smooth operation of the service. Communication and Relationship Skills * Provide and receive complex information daily. * Be the first point of contact for enquiries for A&E Medical rostering and exercise initiative and judgement when dealing with enquiries which may be of an emotional or stressful nature. * Receive and deal with telephone enquiries as appropriate. Analytical and Judgemental Skills * Maintain oversight relating to departmental performance to include Ambulance delays and 4 hour A&E standard and use own judgement to unpick delays and escalate concerns where necessary. * Complete validation for 4-hour breaches for patients within the Emergency Department to identify trends and themes, work with the team to implement improvement plans to reduce common breach reasons from recurring where possible. * Collect and analyse data to monitor the effectiveness of improvement efforts. * Distribute and prioritise incoming mail, using judgement and experience to decide which documents require urgent action. * Monitor a generic mailbox as requested, using judgement to ensure that all urgent emails are dealt with appropriately and in a timely manner. * Undertake breach analysis of patients who exceed 4 hours delay, identify trends and themes, and contribute ideas to implement improvements. Planning and Organising Skills * Ensure completion of department weekly allocations for the Medical Rotas. * Organise own day-to-day work and prioritize team tasks as required, showing an ability to prioritise to achieve set timescales. * Distribute and prioritise incoming mail, using judgement and experience to decide which documents require urgent action and which may be passed directly to other areas for action and information. * Follow the Trust sickness policy and arrange sickness meetings for junior doctors with their Clinical Supervisor, providing administrative support as necessary
