Arranging the photocopying of patient records within the bounds of the Data Protection Act.

Springwood Surgery are looking to recruit a part-time Medical Secretary to join our surgery team. Then post is currently for 24-32 hours per week. We are a busy general practice so we are looking for someone who can work under pressure and on their own initiative. Training will be given to the successful candidate.

The role of a Medical Secretary includes preparing agendas and taking minutes of meetings, actioning patient referrals, requests for medical records. A medical secretary will also communicate with patients directly and therefore it is imperative that patients are greeted in a cheerful and friendly manner. This list is not exhaustive and a full job description will be provided.

About us

Preparing agendas/meeting packs with enclosures.

Taking meeting minutes, typing up and distributing to relevant personnel.

Maintaining back files of minutes.

Audio/copy typing of Private/NHS referrals.

Maintaining a record of 2 Week Rule referrals.

Using the electronic booking system.

Responsibility for logging and distributing medical requests and insurance forms.

Maintaining an up-to-date record system on payment and receipt, ensuring outstanding invoices are followed up and paid.

Sending off expense forms to the appropriate Health Authority.

To maintain an accurate record of petty cash.

Deal with queries from patients and outside organisations.

Maintain an up-to-date list of consultants contact numbers and waiting times.

Other miscellaneous duties as delegated by the Practice Manager or GP Partners.
