We are seeking a Partnership Administration Officer within the division of Student Life. The role holder will coordinate and support the running of the Southeast Wales Mental Health Partnership (SEWMHP) office and the associated administrative activities. The role holder should have strong administrative experience and be proficient with Microsoft Office packages like Excel and Word. The role requires a good communicator due to the collaborative nature of the work which includes all the Student Services Teams, NHS Primary Care partners and the Mental Health University Liaison Service (MHULS) (an NHS Mental Health Service which is located on campuses in Cardiff since April 2022). The role holder would assist with appointment booking and data collection for the MHULS and would need to be based in the Centre for Student Life at least 3 days a week.

The Southeast Wales Mental Health Partnership includes Cardiff University, Cardiff Metropolitan University, the University of South Wales (including the Royal Welsh College of Music and Drama) and Cardiff and Vale University Health Board. The SEWMHP is jointly funded to develop a shared programme of work which will improve access to mental health support for higher education students across the region. The funding is secured until July 2025, but additional funding is currently being sought for the role for a longer contract.

Job Description



Key Duties


  • Provide professional advice and guidance on office management processes and procedures to the partnership, using judgement and creativity to suggest the most appropriate course of action where appropriate, and ensuring complex and conceptual issues are understood.
  • Investigation and analysis of specific issues regarding new partnership initiatives, drafting recommendation reports, supported by the Southeast Wales Mental Health Partnership, NHS team members and other expertise as required.
  • Ensure that the provision of administrative support is delivered to the partnership and MHULS, proactively changing the delivery according to requirements.
  • Collaborate and coordinate with others to make recommendations for improvements or developments of established processes and procedures.
  • Establish and maintain working relationships with key contacts, developing appropriate communication links with the Universities, NHS and outside bodies as required.
  • Create specific working groups from colleagues across the partnership to achieve partnership objectives.
  • Process purchase orders, invoice requests and payments for partnership resource and activities. Tracking and reporting the spend on the partnership spreadsheets.
  • Supervise and coordinate specific partnership staff on an occasional basis to accomplish key objectives.
  • Develop and deliver training within the partnership as required.
  • Undertake a variety of administrative duties to support the SEWMHP and MHULS, including appointment booking and sending patient letters.
  • Instruct and guide other employees across the partnership about the development process and implementation as required.


General Duties


  • Ensure that an understanding of the importance of confidentiality is applied when undertaking all duties.
  • Abide by University policies on Health and Safety and Equality and Diversity.
