The following are the core responsibilities of the Dispensary Administrator. There may be, on occasion, a requirement to carry out other tasks as advised by the Dispensary Manager. This will be dependent upon factors such as workload and staffing levels:
a. Welcome patients at the Dispensary Front Desk, dealing with queries and prescription requests in an efficient manner.
b. Hand out medication to Dispensing patients and ensure prescriptions are signed and endorsed and if appropriate collect prescription charges in accordance with Dispensary protocol.
c. Manage the Dispensary phone-in, where patients can request repeat medication and ask for medication advice, and in response send tasks to the Dispensary team members or Practice clinicians as appropriate.
d. Process prescription requests from patients via paper copy, online access, or email and ensure a 72hr turnaround.
e. Act on any System1 tasks which are sent to Dispensary and phone patients when asked with information or advice from a Clinician.
f. Action incoming emails and other correspondence from outside agencies, or secondary care, and forward to a Team member or clinician as appropriate adding to patient notes via Tasks or patient consultations ensuring an audit trail is available for future reference.
g. Order and process deliveries of dressings and appliances.
h. Ensure safe disposal of all returned medication following Dispensary protocol.
i. Maintain a clean, tidy, and safe working environment using appropriate infection control procedures and ensuring full compliance of Health and Safety protocols within the Dispensary.
j. Understanding of COSHH
k. Always maintain effective security of the Dispensary.
l. Partake in all mandatory e-Learning & face to face training.
m. Attend and participate in Whole Practice Training Events.
n. Provide cover in sickness and holiday absences.

a. Partake in any dispensary audits as directed by the Dispensary Manager
b. Order and monitor stationery supplies when requested.
c. Support Dispensary team development, partaking in shared learning and team meetings.
d. Take part in full team training and staff events where required and complete mandatory training modules annually. Comply with and follow practice policies and procedures.
