Our client is looking for 2 part time receptionist to join their team in Barbican on a part time basis, during term time only!

The successful candidates MUST be able to start on
Thursday 1st August 2024.


To be thefirstpointof contact forparents, pupils and visiting public, both in person and by telephone. To ensure that the highest standards are met with regards to cleaning and first impression of the schools. Being part of the Facilities Team you will assist the Head of Facilities and Operations by providing support tothe non-teaching aspects of the School with particular emphasis on security of the school buildings, general reception functions and the safety of pupils, staff and visitors. You will assist in attendance monitoring when required i.e. assist the pastoral administrator with attendance


Duties Will Include, But Not Limited To


  • Making and receiving telephone calls via a Teams system - assisting with enquiries of a general nature from prospective and current parents. Companies, suppliers & all departments
  • To operate a two way radio system which is the main source of communication for the nurse and to report repairs back to the main site.
  • To report faults to the correct department through the provided channels to make sure things are resolved efficiently as possible
  • Monitor Staff and Visitors and supervise pupils signing in and out of the Sixth form centre, to make sure records are up to date for roll call purposes.
  • To act as the lead Fire Marshal during a fire drills, duties will include, staff sign-in and out registers populated through the electronic InVentry system, theses will be required to be printed out twice per day, after registration has taken place.
  • In line with the schools safeguarding procedures, provide all visitors with a security pass and Introduce them to the schools information booklet, All security passes to have the appropriate coloured lanyard attached. All visitors are to be monitored whilst on site by the receptionist until such point they have been collected by the relevant member of staff.

  • Ensure late pupils complete late slips and adapt registers as necessary.
  • Take parent messages about pupils who will be absent that day and the reason, and produce an absent list
  • Ensure pupils use the correct school entrance and sign in and out.
  • Assisting with stationery requests and filling printers and logging any issues directly to the provider
  • Message passing by e-mail and memorandum
  • Ensuring both incoming and outgoing mail is recorded and that outgoing mail is sent to the main site Reception, for collection,
  • To assist with deliveries for the Sixth form centre
  • To Support facilities at the main site with administrative duties, which may include obtaining quotes, purchasing and other ad-hoc requests
  • Financial - credit card reconciling, raising purchase orders, financial record keeping,
  • Update regularly the receptionist procedural guide for each allocated task including identification of target dates.
  • Use Windows, Excel and the database for basic amendments
  • To undertake any other duties that may reasonably be requested appropriate to the grade
